We are looking for an organized, dependable, and proactive Administrative / Office Assistant to join our corporate office in Woodcliff Lake, NJ. This person will help keep the office running smoothly while providing administrative support to our management and operations teams. This is an excellent opportunity for someone who is organized, professional, comfortable with technology, and enjoys working in a fast-paced environment where priorities can change throughout the day. Responsibilities Provide day-to-day administrative support to company executives and team members Manage incoming phone calls, emails, correspondence, and general office inquiries Organize and maintain electronic and physical files Prepare, format, scan, and organize documents, reports, contracts, and correspondence Assist with scheduling meetings, appointments, and conference calls Coordinate calendars and help keep management organized and on schedule Handle mailing, shipping, printing, scanning, and other general office needs Communicate professionally with vendors, property staff, investors, attorneys, lenders, and other outside parties Assist with gathering information and following up on outstanding items Maintain office supplies and coordinate with office vendors as needed Assist with data entry and updating internal spreadsheets and systems Help coordinate meetings, interviews, and occasional company events Track open tasks and follow up with team members to make sure items are completed Assist management with special projects and other administrative responsibilities as needed Qualifications Strong organizational skills and attention to detail Excellent written and verbal communication skills Professional, reliable, and punctual Comfortable managing multiple tasks and changing priorities Strong follow-up skills — you don't let important items fall through the cracks Proficient with Microsoft Outlook, Word, and Excel Comfortable learning new software and technology Ability to work independently while also being a strong team player Good judgment and ability to handle confidential information professionally Previous administrative, office, real estate, property management, or professional-services experience is preferred but not required What We're Looking For The right candidate is someone who takes ownership of their responsibilities rather than waiting to be told what to do. You should be comfortable working in a busy office, staying on top of multiple assignments, and following through until each task is completed.
