BRIEF DESCRIPTION
The Treasury Administrative Assistant is responsible for processing financial transactions, maintaining accurate records, and assisting with tax-related inquiries within the Treasurer's Office. This position requires strong attention to detail, organization, and the ability to work independently while ensuring compliance with county financial policies..
KEY RESPONSIBILITIES
Financial Transactions & Cash Handling:
Receive, process, and balance daily payments, including property taxes and other county fees.
Maintain and reconcile cash drawers to ensure accurate financial records.
Balance deposits with taxes paid and bank transactions.
Process and track revenue county-wide, ensuring alignment with the County Finance Program
Tax & Collections:
Research property tax listings and respond to tax-related requests.
Conduct county-wide fieldwork for collections, as needed.
Follow up on past-due accounts and assist with collection efforts.
Administrative & Office Support:
Prepare and maintain daily, weekly, monthly, and yearly financial reports.
Answer phone calls and respond to routine inquiries from the public.
Assist the Treasurer and other staff with administrative tasks as needed.
Other Duties:
- Work irregular hours as required, including travel to the Artesia or Carlsbad offices.
- Attend job-related meetings, training, and professional development activities.
- Perform additional duties as assigned to support Treasurer's Office operations.
This position is for the Carlsbad location
JOB REQUIREMENTS
High School Diploma or GED Certified required. Minimum of three (3) years of experience in administrative support, bookkeeping, Excel spreadsheet development, and documentation procedures; two (2) years' experience in collections and paid receipts; one (1) year balancing a cash drawer required, two preferred. Qualifications
Experience in treasury, finance, accounting, or a related field. Strong attention to detail and organizational skills. Proficiency in financial software and Microsoft Office Suite. Ability to handle confidential information with discretion. Excellent communication and problem-solving abilities. Ability to work independently with minimal supervision.
Must successfully pass criminal and employment background investigations. Eligibility to work in the U.S. verified thru E-Verify.

Must have, or ability to obtain, a current valid NM driver's license and be insurable by the County Insurance Authority.
MUST PROVIDE A CURRENT DRIVING RECORD.
Must have good communication skills, must have the ability to understand and communicate in English, both written and oral. Must be able to communicate verbally with co-workers, as well as the general public. Must be able to ask questions of supervisor, listen to, and follow verbal direction in English. Must be able to recognize, work with and maintain confidential information
Ability to perform the basic arithmetic operations, develops, and utilizes Excel spreadsheets.
Must be proficient in keyboard, typing, 10-key calculator, telephone operations, and message taking. Must be detail oriented for work in record keeping, filing, maintaining and generating correspondence and reporting. Must be able to apply sound reasoning and judgment in performance of various clerical functions. Must be able to assist customers in person and telephone courteously and professionally answering questions and trying to resolve any issues.
Must have the ability to perform the essential duties in the working conditions, equipment, tools, and materials listed below. Must be able to maintain a high level of concentration in performance of repetitive duties. Must be able to calculate Pro-rata shares for all county investments and maintain monthly CD and Securities banking reports. Must be able to perform the generation of other financial and tax related reports required of the Treasurer's office.
Good interpersonal skills required. Must be able to maintain a positive rapport with co-workers and the general public.
