Full Job Description Front Office Assistant Pay Range:
DOE We are a busy civil law firm seeking a dependable, organized, and professional Front Office Assistant to join our team. This role is ideal for someone who is a self-starter that can work independently without constant supervision but is also a team player with a positive, professional attitude. The right candidate shows up on time, every day, ready to work and is proactive, and ready to contribute. If you are someone who is reliable, detail-oriented, communicates clearly, and can keep things running smoothly in a fast-paced office, we want to hear from you.
Key Responsibilities:
Answer and direct incoming phone calls in a professional and courteous manner Greet clients and visitors and provide a welcoming, professional front office experience Schedule appointments and manage attorney calendars Screen potential clients and gather initial intake information Handle incoming and outgoing mail, including scanning and distributing documents Create, maintain and organize physical and electronic files Perform data entry and update client records accurately Assist with preparing basic legal documents and correspondence Process client payments in person and online using firm payment software Track, order, and maintain office supplies and inventory Coordinate office errands such as bank deposits and supply runs Keep the front office and common areas organized and presentable Provide general administrative support to attorneys and staff
Qualifications:
Previous experience in a law office or professional office setting preferred Strong reliability and punctuality — consistent attendance is essential Excellent organizational and time-management skills Strong written and verbal communication skills Ability to multitask and stay focused in a fast-paced environment Proficiency in Microsoft Office (Word, Excel, Outlook) and with office technology such as scanners, multi-line phone systems and cloud-based software Ability to handle confidential information with discretion Strong problem-solving skills and a proactive attitude Clean criminal and driving record with a valid driver's license Spanish-speaking is a plus, but not required Compensation & Benefits Competitive hourly pay based on experience Paid time off (PTO) Evenings, weekends and major holidays off Stable schedule (Monday - Thursday 1:00 pm - 5:00 pm) with shortened Fridays (3:00 pm end time) to support work-life balance Small, supportive, team-oriented work environment On-the-job training and hands-on legal experience Opportunities for growth and increased responsibility within the firm
Pay:
$16.00 - $18.00 per hour
