Performs a variety of complex secretarial, clerical, and general administrative duties to support organizational operations and to
expedite the administration of projects designed to relieve the supervisor of administrative details within an assigned department,
division, or section of the City. Represents the City to the general public and assists individuals with a range of inquiries and
related administrative needs. Supervision Received Works under the general supervision of an assigned division director, supervisor, office manager or department head. Supervision Exercised None. Qualification Requirements To perform this job successfully, an individual must be able to perform each essential function satisfactorily. The requirements

- Assists with organizational budget management by maintaining expense and budget data, preparing legislative funding request and grant applications, receiving payments from the public, issuing receipts, generating, and processing
purchase orders, tracking the status of purchasing requisitions, and negotiating vendor quotes. - Ensures the integrity of the organization's data, evaluates, and reconciles errors, compiles reports, establishes, and maintains organizational files, and distributes information to relevant parties, as appropriate.
- Liaises with other City entities/committees in order to meet customer needs and support the organization's operations; may be required to attend administrative or public hearings, taking minutes or operating recording equipment; attends
meetings, seminars, and workshops, as required. - Maintains confidentiality and exercises discretion in managing and disclosing sensitive information; ensures records are
maintained in accordance with State Statues, City requirements and/or other established procedures; may assist with
record retention and archiving activities. - May coordinate events.

- May oversee contracts, assist in the delivery of grants programs, implement grant applications, and create social
media/promotions - Monitors and evaluates office supply and equipment use, ensuring sufficient inventory of supplies and effective
functioning of equipment; orders office supplies, coordinates equipment repair, maintains inventory documentation, and
manages paperwork pertaining to purchases and office inventory, in accordance with established City processes and
procedures. - Operates office equipment, which may include a personal computer, copy machines, fax machines, telephones,
document scanners, and recording equipment. - Performs a variety of secretarial, administrative, and clerical work requiring detailed attention and care, including
composing, typing, and printing correspondence; compiling reports, studies, basic statistics, graphs, charts, forms, and
other specialized materials; editing and designing materials; and composing specialized documents, such as Professional Service Agreements (PSA's), Memorandums of Understanding (MOU's), Memorandums of Agreement
(MOA's), etc.
- Provides secretarial support to management by preparing meeting agendas, compiling meeting packets for various
boards and committees, issuing public notifications as necessary for meetings, transcribing meeting minutes, arranging
appointments and meetings, making travel arrangements, and participating in various committees, as appropriate to the
position. - Represents the City with professionalism by providing quality customer service to the general public; welcomes and
directs visitors, answers telephone calls, corresponds via e-mail and physical mail, and refers individuals to appropriate
services, agencies and/or other relevant resources. - Resolves and responds to customer needs and concerns using independent judgment to relay relevant and accurate
information, escalate issues, and provide appropriate referrals to other City departments, divisions, or sections. - Utilizes database software, where applicable, to enter and verify information from individuals and process appropriate
departmental paperwork; effectively navigates databases, internet websites, and other resources in order to submit
and/or obtain relevant information.

- Able to pass an FBI Criminal History Background Check.
- Assist with airport security access identification issuance. Knowledge, Skills, and Abilities
- Ability to operate general office equipment, including telephones, copy machines, fax machines, document scanners,
dictation and recording equipment, calculators, etc. - Ability to balance competing priorities at once and meet established deadlines within significant time constraints.
- Ability to procure office supplies, maintain appropriate records, and coordinate maintenance and repair of office
equipment. - Ability to analyze and interpret various records and reports.
- Ability to establish and maintain an effective record management and filing system.
- Ability to navigate internet websites and/or databases to enter and obtain relevant information.
- Ability to interact with the public and resolve customer concerns or complaints, including the ability to weigh
circumstances and engage in effective independent decision-making to handle a range of situations of varying
complexity. - Ability to maintain confidentiality and exercise appropriate discretion in handling sensitive information.
- Basic knowledge of word-processing, spreadsheets, and other special applications, including Microsoft Office Suite.
- Knowledge of basic accounting principles and practices, including the ability to make basic mathematical computations
and to keep accurate financial accounts, documentation, and records. - Knowledge of relevant rules and regulations related to the tasks to be performed and the ability to apply rules and
