Job Description

Job Overview We are seeking a dynamic and organized Administrative Assistant to join our team! In this vital role, you will serve as the backbone of our office operations, ensuring smooth daily functions and providing exceptional support to staff and clients alike. Your energetic approach and attention to detail will help foster an efficient, smooth-flowing environment. This full-time (Monday-Friday, 8 am-5 pm) position offers an exciting opportunity to develop your skills in office management, customer service, and administrative support within a smaller, family-like office setting (7 full-time staff). Responsibilities Process customer invoices, payments, and refunds Assist with bookkeeping tasks using QuickBooks Support office management tasks such as ordering supplies and overseeing office equipment Provide exceptional customer service by addressing customer and vendor inquiries via email and phone patience and clarity Proofread documents for accuracy and professionalism before distribution Coordinate with team members to ensure timely completion of administrative projects Handle clerical duties including copying, scanning, faxing, and mailing Perform data entry and maintain organized filing systems, both digitally and physically Answer multi-line phone systems promptly, directing calls accurately and courteously Skills Proven experience in office administration or clerical roles with strong organizational skills Proficiency in Outlook and Microsoft Office Suite (mostly Word & Excel) Familiarity with QuickBooks or bookkeeping software is preferred Excellent phone etiquette with experience operating multi-line phone systems Bilingual abilities not required, but are a plus, as we serve clients worldwide (Spanish, Portuguese, and French are especially helpful) Strong typing skills with high accuracy; capable of managing data entry efficiently Exceptional organizational skills with keen attention to detail and proofreading abilities Ability to prioritize tasks effectively while managing time efficiently in a busy environment Experience in customer service or customer support roles demonstrating professionalism and patience Personal assistant experience or office management background preferred Join us in creating a vibrant workplace where your administrative talents can shine!
