The position serves as an important point of contact between residents, property management, maintenance personnel, vendors, and other staff. A primary responsibility of this position is receiving, dispatching, tracking, and following up on resident maintenance work orders to help ensure that service requests are addressed promptly and appropriately. Essential Duties and Responsibilities Work Order Dispatching & Maintenance Coordination Receive maintenance and repair requests from residents by telephone, email, management system, or in person. Create work orders and accurately document the resident's concern, apartment number, contact information, access instructions, and other relevant information. Prioritize requests based on urgency and established management procedures. Dispatch work orders to appropriate maintenance employees, porters, handymen, superintendents, or outside vendors. Communicate with maintenance personnel throughout the day regarding new assignments, emergencies, scheduling changes, and outstanding work orders. Monitor open work orders and follow up with maintenance personnel to ensure assignments are completed in a timely manner. Update the property management system with work performed, completion status, resident communications, and follow-up requirements. Contact residents when necessary to coordinate apartment access, appointments, or follow-up service. Resident Service Answer incoming telephone calls and assist residents with general questions and requests. Provide courteous and professional customer service to residents. Maintain professionalism and confidentiality when handling resident information or sensitive matters. Administrative Support Provide general administrative and clerical support to property management. Enter and update resident, apartment, vendor, maintenance, and other property information in management systems. Qualifications Prior administrative, property management, customer service, dispatching, or residential building experience preferred. Spanish speaking strongly preferred. Strong organizational skills with the ability to manage multiple requests and priorities simultaneously. Ability to communicate professionally and effectively with residents, employees, vendors, and management. Comfortable using computers, email, Microsoft Office, and property management or work-order software. Ability to work effectively in a busy residential property management environment.
