Job Description

Overview Join our dedicated team as a Fire District Administrator/Secretary, where you will be the vital link ensuring smooth administrative operations within our fire district. This dynamic role combines office management, clerical support, and customer service to help our fire department run efficiently and effectively. You will handle a variety of tasks that support the district's mission to serve and protect the community with professionalism, organization, and care. Responsibilities Manage daily office operations, including greeting visitors and answering multi-line phone systems with professionalism and courtesy Maintain accurate records through data entry. Handle confidential information with discretion and integrity while supporting administrative functions Coordinate communication between the fire district, community members, vendors, and emergency responders Schedule appointments, prepare reports, and assist with administrative projects to ensure timely completion Oversee front desk duties, including managing incoming calls, directing inquiries, and providing exceptional customer service Support office management tasks such as supply ordering, record keeping, and maintaining organizational systems Requirements Proven clerical experience with strong office management skills in a fast-paced environment Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and computer literacy for data entry and document preparation Excellent organizational skills with keen attention to detail and time management abilities Strong communication skills, including phone etiquette and client interaction in both bilingual (English/Spanish) capabilities a plus Ability to handle confidential information responsibly while maintaining professionalism at all times Prior experience in administrative support or personal assistant roles is highly desirable Demonstrated ability to multitask effectively while providing exceptional customer support Join us in making a difference by supporting our fire district's vital services through efficient administration. Pay:
$20.00 - $25.00 per hour Expected hours: 25.0 - 30.0 per week
