Adecco is recruiting for an Administrative Assistant for a client in Liverpool, NY . This position is temp-to-hire, paying $17-19/hour. Schedule is Monday through Friday from 8:00 AM to 5:00 PM.
Position Overview:
We are seeking a detail-oriented Administrative Assistant to support daily office operations in a fast-paced manufacturing environment. This role will involve front desk reception, data entry, customer support, clerical tasks, and general administrative assistance to multiple departments.
Key Responsibilities:
Answer and direct incoming phone calls Greet visitors and assist with front desk responsibilities Perform data entry and maintain accurate records Assist with order entry, billing, and document processing Support customer service and office staff as needed Maintain filing systems and office documentation Handle incoming mail, packages, and deliveries Maintain office supplies and assist with general office organization
Qualifications:
Previous office or administrative experience preferred Strong communication and customer service skills Excellent organizational and multitasking abilities Strong attention to detail and problem-solving skills Proficiency with Microsoft Office programs Ability to work effectively in a fast-paced environment Advanced English reading, writing, and comprehension skills
ADMINISTRATIVE ASSISTANT
Job S ummary: Serves as an Administrative Assistant to office personnel and answers the in-coming main phone line. The administrative office staff is a team. Each Administrative Assistant has set responsibilities and backs-up the other administrative assistants by taking responsibility of overflow office work and projects, as assigned.
Supervisory Responsibilities:
None Duties/Responsibilities:
1st Admin
  • Front Desk
  • Reception Greets clients, visitors, and guests; determines the purpose of each person's visit and directs or escorts him or her to the appropriate location.
Answers, screens, and directs phone calls to staff; takes messages and schedules appointments. Performs data entry administrative and clerical support tasks such as entering purchase orders into the AS 400 and follow up with vendors. Provides support to the Procurement Manager as requested. Provides support to Customer Service Reps (CSRs) and types customer quotes as requested. Performs basic filing and recordkeeping for Controller. Receives mail, documents, packages, and courier deliveries and delivers or distributes items. Opens and sorts the incoming mail. 2nd Admin
  • Data Entry Receives data and paperwork from the Sales Department and other office staff each day.
Verifies the receipt of data and paperwork, obtaining any data that is missing. Records and processes data and paperwork into the correct computer system(s) effectively and efficiently, supporting the 24-hour process turnaround expectations: Completes the billing process each day in an effective and timely manner. Completes the order entry process each day in an effective and timely manner. Updates and maintains customer information as required in an effective and timely manner. 3rd Admin
  • Working with CSRs Assists with inputting job card updates and creates job packets.
Retrieves information as requested from records, email, minutes, and other related documents; prepares written summaries of data when needed. Responds to and resolves administrative inquiries and questions. Manages documentation logs in order to track document status' and other clerical records for the document control center. Overall:
Resolves minor processing problems; seeks assistance from management or other appropriate staff for issues beyond immediate expertise and supports the 24-hour turnaround process expectations. Assists with and serves as a backup for the other administrative functions and the reception area. Maintains filing systems as assigned and completes all relevant filing each day. Maintains confidentiality of sensitive information. Engages with customers, vendors, co-workers (which include leased or temporary), subcontractors and delivery drivers, etc. with a positive and supportive attitude. Conforms to the company's culture of quality, service and continuous improvement, while taking personal responsibility for own actions and treating fellow employees, customers and vendors respectfully and ethically. As needed, assigned "Champion Role" in keeping shop inventory stocked, organized and clean. Submits requisition form to Manager when supplies/inventory is needed. Education and Experience :
High school diploma required. Must have a current valid NY driver's license and submit a copy to Human Resources prior to driving for business purposes and/or a company vehicle. Prior office experience preferred.

Environment:
While performing the duties of this job, the employee spends 5% of their time in the production plant environment, where they may be exposed to airborne dust particles, smells, variety of temperatures (based on season and outside weather conditions) and noise associated in a manufacturing facility which they must be able to work in and tolerate. The noise level in the work environment is usually moderate to loud.
Mobility:
Must be able to perform physical activities (reaching, bending, pushing, pulling, stretching, lifting); must be able to sit for prolonged periods of time AND/OR regularly required to stand and walk for periods of time depending on assignment; must maneuver across a cement floor to access various areas of the production facility.
Pay Details:
