We are seeking an organized and adaptable Administrative Assistant to support the daily operations of our office. This is a small office, so the person in this role will wear several hats. Along with reception and general administrative duties, the Administrative Assistant will support HR onboarding, purchasing, shipping, inventory, and production-related tasks. The ideal candidate can manage changing priorities, communicate well with different departments, and follow through on details. Responsibilities Greet visitors, answer and direct phone calls, and respond to routine questions by phone and email. Maintain the front desk and follow visitor sign-in and badge procedures. Schedule meetings, appointments, and vendor visits. Receive and distribute mail and packages, and coordinate courier services. Organize files and records, prepare correspondence and reports, and assist with travel arrangements and company events. Order office supplies, create purchase orders, and follow up on orders and deliveries. Assist HR with onboarding new employees, including preparing materials, coordinating paperwork, and scheduling onboarding activities. Coordinate intercompany and third-party shipments, including shipments to our international facilities. Prepare packing slips and other required shipping and customs paperwork. Book UPS shipments, arrange freight pickups, compare carrier quotes, and prepare bills of lading. Track shipment deadlines, custom orders, and scheduling changes; follow up with the appropriate departments on missing parts or information. Provide inventory and production system support, including pick lists, cycle counts, job entries, MRP processing, and ordering materials when needed. Maintain accurate records and communicate discrepancies to the appropriate team members. Perform other administrative and operational duties as needed. Qualifications High school diploma or equivalent required; an associate's or bachelor's degree is preferred. Experience in an administrative assistant, office support, shipping coordination, purchasing, or similar role. Proficiency in Microsoft Office, especially Excel and Outlook. Ability to learn and use company systems for purchasing, inventory, shipping, and production-related entries. Strong organizational skills, attention to detail, and the ability to manage several priorities at once. Clear written and verbal communication skills and a professional, customer-service-oriented approach. Ability to work independently, follow up with others, and support different departments as needed. Experience in a manufacturing or job shop environment is preferred.
Pay:
$20.00 - $25.00 per hour Expected hours: 40.0 per week
