This position is ideal for someone who thrives on creating order, enjoys managing records and spreadsheets, and takes pride in keeping information accurate and accessible. As our business continues to grow, you'll help maintain the systems that keep multiple store locations running efficiently. Success in this role requires exceptional organizational skills, attention to detail, and the ability to manage multiple projects without letting anything fall through the cracks. Key Responsibilities Organize and maintain all office records, files, and documentation in both digital and physical formats. Create, update, and manage Excel spreadsheets to track retail purchases, expenses, invoices, and operational data. Maintain organized and confidential employee personnel files and records. Ensure all business documents are accurate, complete, and easy to locate. Process and organize invoices, receipts, purchase records, and vendor documentation. Perform accurate data entry with a high level of attention to detail. Develop and maintain filing systems that improve efficiency and accessibility. Prepare reports and spreadsheets for management using Microsoft Excel. Coordinate office supply inventory and maintain organized purchasing records. Communicate with vendors regarding orders, invoices, and deliveries. Answer phone calls, emails, and provide general administrative support. Assist with onboarding paperwork and other employee-related documentation. Support management with administrative projects and process improvements. Qualifications Exceptional organizational and time-management skills are required. Advanced proficiency in Microsoft Excel , including formulas, sorting, filtering, data organization, and spreadsheet management. Fluent in English and Spanish (spoken and written). Strong attention to detail with excellent data entry accuracy. Ability to prioritize multiple tasks while maintaining accuracy and meeting deadlines. Proficient in Microsoft Office (Excel, Word, and Outlook). Strong written and verbal communication skills. Ability to maintain confidentiality when handling employee and company records. Self-motivated, dependable, and able to work independently. Previous administrative or office assistant experience is preferred. Who You Are You are someone who notices the small details others miss.
