Location:
IFCA Housing Network - Ossining, NY Position Summary IFCA Housing Network is seeking a dependable, organized, and community-oriented Office Assistant to provide day-to-day administrative and front-office support. The Office Assistant will often serve as one of the first points of contact for IFCA tenants, housing applicants, community members, visitors, and partners and will play an important role in maintaining a welcoming, responsive, and organized office environment. The ideal candidate will possess strong communication and customer service skills, be comfortable interacting with individuals from diverse backgrounds, and have the ability to manage multiple administrative responsibilities in a busy nonprofit housing environment. Primary Responsibilities Answer and direct incoming telephone calls and respond to general inquiries. Greet tenants, applicants, community members, partners, and other visitors to the IFCA office and connect them with the appropriate staff member or resource. Provide general information regarding IFCA programs and services and appropriately route more complex questions to designated staff. Receive tenant maintenance and repair requests and assist with coordinating and documenting requests through IFCA's property management systems. Assist with follow-up and communication related to maintenance requests as directed. Perform general administrative duties, including filing, copying, scanning, data entry, document preparation, and maintaining organized office records. Receive, sort, and distribute incoming mail and coordinate outgoing mail and packages. Complete regular trips to and from the local post office for organizational mail. Assist with maintaining office supplies and identifying items that need to be reordered. Provide administrative support to IFCA staff and departments as needed. Assist with scheduling, correspondence, meeting preparation, and other general office functions. Maintain professionalism and confidentiality when handling tenant, applicant, employee, and organizational information. Perform other related administrative duties as assigned. Qualifications High school diploma or equivalent required; additional education or administrative training preferred. Prior experience in an office, administrative, receptionist, customer service, housing, or community-based setting preferred. Strong interpersonal and customer service skills. Professional and courteous telephone and in-person communication skills. Basic proficiency with Microsoft Office, email, and general computer systems. Ability and willingness to learn IFCA's property management and administrative systems, including Yardi. Strong organizational skills and attention to detail. Ability to manage multiple requests and priorities in a professional manner. Ability to work effectively with tenants, applicants, community members, vendors, and staff. Bilingual English/Spanish skills are a plus. About the Role This position is an important part of IFCA's day-to-day operations and will help ensure that tenants, applicants, and community members receive timely and professional assistance. The Office Assistant will work collaboratively across departments to help maintain an organized, responsive, and welcoming office environment.
Pay:
$20.00 - $23.00 per hour Expected hours: 35.0 per week
