Job Description

Office Coordinator Job Summary You will be the voice of the company on the phone and the person who keeps every job moving. When a customer calls with a flooded basement or a mold problem, you answer, get the facts, and get an inspection on the calendar. You follow up on leads and estimates, schedule our field technicians, keep each job file complete, send the invoice when the job is done, and follow up until it is paid. You also keep our books current in QuickBooks Online. This is a job for someone who likes owning a desk, not sharing one. The owner is at job sites most of the day. You will make decisions, keep him informed, and keep customers taken care of. What you will do Answer every incoming call during business hours and return missed calls within the hour Take new inquiries, schedule inspections and estimates, and confirm appointments Call back leads the same day and follow up on open estimates at 3 and 7 days Schedule the field technicians and coordinate supplies, testing, and service providers Keep job files complete, including insurance claim information and documents for adjusters Invoice jobs within two days of completion and follow up on payment until it is received Enter bills, receipts, and payments in QuickBooks Online and prepare the weekly payables list Handle mail, filing, vendor paperwork, and general office administration What we are looking for Two or more years in an office, customer service, dispatch, or front desk role with heavy phone work A clear, calm, courteous phone manner, including with people who are having a very bad day Working knowledge of QuickBooks Online or similar, and comfortable with email, calendars, and spreadsheets Organized and self-directed; able to run the office alone for hours at a time High school diploma or equivalent; valid driver's license A plus: experience in a contractor, restoration, or home service office; insurance claim paperwork; Spanish Pay and schedule $21.00 to $27.00 per hour depending on experience, with a review at 90 days.
