Company Overview Mental Health Providers of Western Queens, Inc. has been serving the diverse communities of Queens for over 35 years. Our organization offers comprehensive mental health services, including psychotherapy, outpatient programs, and community-based clinics, all designed to support children, teens, and adults in achieving well-being and resilience. Job Overview The Administrative Assistant provides administrative and operational support to the Prevention Services program. This position serves as a primary point of contact by phone and email, assists with scheduling and program coordination, maintains accurate program records and data, and supports communication between Prevention Services staff, schools, community partners, and program participants. Responsibilities Answer and appropriately route incoming phone calls, respond to general program inquiries, and accurately document messages and referrals. Communicate with schools, community organizations, participants, and other partners regarding prevention services, programming, scheduling, and referrals. Maintain and update the Prevention Services team schedule, ensuring appointments, classes, workshops, outreach activities, and schedule changes are accurately communicated to staff. Schedule and confirm appointments, prevention counseling sessions, classes, workshops, and other program activities as directed. Complete timely and accurate data entry into WITNYS and other required program tracking systems. Maintain referral, enrollment, attendance, and other program tracking logs. Prepare and organize program forms, consent documents, educational materials, sign-in sheets, and other administrative materials. Assist with phone-based intake, registration, and follow-up with prospective and current program participants. Support staff with preparation and coordination for school- and community-based prevention activities. Maintain organized electronic and paper records in accordance with program requirements. Provide general administrative support to the Program Director, Office Manager, and Prevention Services team. Requirements Bilingual proficiency in Spanish and English is essential for effective communication High school diploma or equivalent required; Associate degree preferred. Previous administrative, clerical, or human services experience preferred. Strong organizational and time-management skills with attention to detail. Excellent phone, written, and interpersonal communication skills. Ability to manage multiple schedules, appointments, and competing priorities. Comfortable with data entry and maintaining accurate records. Proficiency with Microsoft Office, including Outlook, Word, and Excel. Ability to work collaboratively as part of a team and communicate professionally with schools, community partners, staff, and program participants.
Pay:
$22.00 per hour Expected hours: 21.0 per week
