Job Description
Part-Time Administrative Assistant - Property Management Springfield, Ohio | $16-$20 per hour ROOST Real Estate Co. is looking for a dependable, organized Part-Time Administrative Assistant to support our property management and property improvement operations in Springfield, Ohio. This position will work closely with our Rehab Manager and Maintenance Coordinator. A major part of the job will be coordinating larger repairs and special projects involving outside contractors that require property owner approval. You do not need to be a construction expert. We are looking for someone who communicates well, follows up relentlessly, stays organized, is comfortable working with contractors and property owners, and makes sure projects don't fall through the cracks. What You'll Do Outside Vendor & Special Project Coordination Take over third-party vendor projects that require owner approval. Gather the information needed to clearly explain the problem and proposed work. Contact contractors and vendors to obtain estimates and proposals. Follow up with vendors until bids are received. Organize bids and proposals so they are easy for our team and property owners to understand. Assist with obtaining and tracking owner approvals. Schedule approved work with contractors and vendors. Track projects from approval through completion. Follow up with contractors to make sure work is completed as promised. Organize invoices, proposals, photos, approvals, and other project documentation. Keep our property management software and project records current. Make sure completed projects are properly documented and closed out. Projects may include things such as: Pest control Appliance repair or replacement Tree removal and trimming Driveway and parking-area projects Exterior repairs Larger specialty repairs Other one-time property improvement projects Rehab Administrative Support Work directly with our Rehab Manager to help keep residential rehab and turnover projects organized. Request and track contractor bids. Help coordinate contractors, vendors, materials, and schedules. Maintain project documentation, photos, scopes, bids, and invoices. Track important dates, approvals, deadlines, and project progress. Help prepare project information and updates for property owners. Follow up with contractors and vendors so the Rehab Manager can focus on managing the actual work. Who We're Looking For The right person is: Highly organized and detail-oriented. Dependable and consistent. Comfortable making phone calls and following up with people. Persistent enough to chase down a contractor who hasn't returned a bid. Comfortable communicating with property owners and vendors. Able to manage several projects at the same time. Good at keeping track of deadlines and unfinished tasks. A strong written and verbal communicator. Comfortable using computers, email, Microsoft Office, and web-based software. Interested in using tools such as ChatGPT and Claude to work more efficiently. Able to work independently without constant supervision. Willing to ask questions when something isn't clear. Proactive about identifying problems instead of waiting for someone else to notice them. Previous experience in administrative support, property management, real estate, construction, maintenance, customer service, or office coordination is helpful but not required. Schedule & Compensation $16-$20 per hour , depending on experience and ability. Part-time, approximately 20-30 hours per week . Based in Springfield, Ohio . Primarily weekday/business-hour availability. Some flexibility in scheduling may be available. Occasional local travel may be required. Opportunity for a full-time position in 6 to 12 months.
