Position Summary:
Now hiring a positive and dynamic Administrative Assistant for a successful real estate broker, in an innovative and expanding real estate firm. This is a commercial real estate position requiring professionalism, integrity and strong interpersonal skills. All duties associated with this position are designed to create efficiency for the agent and enable further business growth. Duties include but are not limited to: real-time email monitoring and management, phone and text monitoring and management, database management, transaction task management, calendar management, duties related to real estate buyers and listings, work both in and out of the office, and other duties as assigned.
Minimum Requirements:
  • High School diploma or equivalent
  • 3 years of administrative experience that includes using Microsoft Office, Google Suite, HubSpot and Dropbox
  • Marketing experience
  • Valid driver's license and vehicle to travel to worksites (on occasion); mileage reimbursed
  • Willingness to acquire Oregon Real Estate License within 1 year of hiring (company will assist) Preferred (Not Required):
  • Commercial real estate experience
  • Associate or Bachelor's degree in Business Administration, Real Estate, or related field

Adobe InDesign and Canva Duties:
Administrative Support:
  • monitoring and management
  • Phone and text monitoring
  • Database management
  • Calendar management
Transaction Support:
  • Support the preparation of real estate documents
  • Assist with tracking key dates and transaction deadlines
  • Maintain and update property databases
  • Help prepare marketing materials, including property brochures and online listings
Client and Staff Support:
  • Assist with client communications and inquiries
  • Participate in buyer and seller activities, including photos, signage location and other marketing aspects
  • Learn and apply commercial real estate processes and procedures
Ideal Candidate Demonstrates:
  • Strong organizational and time management skills to work independently with little supervision, multitask and plan ahead
  • Strong marketing skills
  • Excellent attention to detail and problem-solving
  • Excellent critical thinking skills
  • Excellent verbal and written communication skills (letters, email, documents etc.)
  • Flexibility to deal with change, employing a positive can-do attitude
Employer Notes:
  • Background check and drug test prior to employment
  • Position in office setting
Wage, Benefits and Schedule:
  • Schedule is Monday through Thursday 8:30 AM-3:30 PM and Friday 8:30 AM-12:30 PM
  • $25 to $28, depending on experience and qualifications
  • Medical and Dental (for employee), retirement and paid time off
