Structural Steel Department Administrator The Steel department administrator assists the project manager with organizing contracts, coordinating with clients, communicating with subcontractors, monitoring project progress, and providing administrative support. The ideal candidate will excel in managing construction contracts and documents with exceptional attention to detail and possess strong communication skills for liaising with clients and subcontractors. Responsibilities Supports the project manager in planning, executing, and monitoring projects. Assists the project manager in preparing and updating project schedules, budgets, contracts, and reports. Resolves administrative issues that may arise during the project lifecycle. Completes job set up in project management software. Attends all meeting related to assigned projects. Maintain an accurate and up-to-date Project File. Track all subcontract documents for assigned projects. Prepare, verify, and distribute Change Orders as requested. Prepares owner and design billings as directed. Review and distribute all Close-out Documents for assigned projects. Manages implementation of Structural Steel Department training programs, including: Assistance with maintenance of training program documentation Maintaining records Maintaining schedules and communicating with personnel Implements control of Quality Management System documents and records. Assists with maintaining Quality Management System documentation. Assists with analysis of quality records for management review. Facilitates document control processes/procedures. Other duties as assigned by supervisor. Required Qualifications 2+ years of administrative experience in construction or related industry; Proficiency in accounting software (such as QuickBooks, Sage, or equivalent) and Microsoft Office Suite (Word, Excel, Outlook). Knowledge of construction contract terms and project documentation standards. Exceptional attention to detail and organizational skills. Excellent written and verbal communication abilities. Ability to work independently and collaboratively in a fast-paced environment. Strong problem-solving and multitasking abilities. Preferred Qualifications Degree or Certifications in Construction Management or related field. Direct experience with contract and document management. Proficient with Spectrum Viewpoint accounting software. The ability to speak both English and Spanish.
