We provide person-centered services including Employment Supports, In-Home Supports, Community Inclusion, and Life Skills Development for teens and adults. Our work focuses on helping individuals achieve their self-directed goals while building independence, meaningful relationships, and strong community connections. Position Overview Oregon Provider is a medium-sized and growing organization seeking a highly organized, detail-oriented, and professional Onboarding & Bookkeeping Administrative Assistant to support the Agency Director and daily business operations. This is a fully in-person position based in Sandy, Oregon. This position plays an important role in employee onboarding and offboarding, QuickBooks bookkeeping, administrative organization, and general office operations. Onboarding & Bookkeeping Administrative Assistant will help ensure new employees move through onboarding efficiently, departing employees are properly offboarded, financial records remain organized and accurate, and administrative tasks are followed through from start to finish. The ideal candidate is proactive, dependable, comfortable with technology, experienced with QuickBooks Online, and able to independently manage multiple responsibilities and deadlines. Key Responsibilities Onboarding & Offboarding Coordinate employee onboarding from acceptance of employment through completion Prepare onboarding paperwork, employee files, forms, and checklists Complete reference checks and assist with pre-employment requirements Schedule orientations, trainings, appointments, and onboarding activities Assist employees with required applications, systems, email, and communication platforms Track outstanding onboarding requirements and follow up until completed Maintain accurate electronic and physical employee records Coordinate employee offboarding from notification through completion Prepare separation and offboarding documentation Collect Agency equipment, keys, devices, and other company property Coordinate removal of access to email, applications, websites, communication platforms, and other Agency systems Maintain completed onboarding and offboarding checklists and records Bookkeeping & QuickBooks Perform bookkeeping tasks using QuickBooks Online Review, categorize, and clear transactions Reconcile accounts and assist with maintaining accurate financial records Identify discrepancies and assist with correcting bookkeeping entries Organize receipts, invoices, purchases, and financial documentation Maintain clean and organized electronic and physical financial records Assist the Agency Director with bookkeeping projects and financial organization Assist with Various Audit This position does not process payroll Required Qualifications Minimum of 3 years of experience in bookkeeping, and onboarding/offboarding QuickBooks Online experience required Experience reviewing and reconciling accounts and maintaining accurate books Strong computer and technology skills with the ability to learn new programs quickly Strong organizational skills and attention to detail Ability to independently track tasks and follow through from beginning to completion Excellent written and verbal communication skills Ability to manage multiple priorities and deadlines simultaneously Professional and comfortable communicating with applicants, employees, vendors, and community partners High level of discretion and confidentiality Reliable, punctual, and consistent Able to work independently while also collaborating with management Must be able to work fully in person in Sandy, Oregon Benefits Comprehensive medical coverage including vision, chiropractic, acupuncture, and prescription benefits Delta Dental Insurance 401(k) retirement plan with up to 3.5% employer match 40 hours of Paid Time Off How to Apply Please complete our online application.
