Job Description G Technology is seeking a highly organized and proactive Service Operations Administrator to manage the administrative, scheduling, and financial backend of our electrical Service Department. This is a key operations position responsible for keeping service work organized and moving efficiently from the initial customer request through scheduling, field execution, documentation, billing preparation, and closeout.

$52,000 - $60,000 Salary Skills & Qualifications This is not a receptionist or general administrative assistant position. The successful candidate will maintain administrative control and visibility over a high volume of active service work orders and ensure that scheduling, documentation, job costs, and billing requirements do not fall through the cracks. What We're Looking For We are looking for an operations-minded administrator —not simply someone who completes assigned administrative tasks. The right person will actively manage the backend of the Service Department, identify missing information, follow up without being asked, anticipate upcoming needs, and keep work orders progressing toward completion and billing. The ideal candidate has worked behind the scenes of a construction or field-service operation and understands how technicians, work orders, scheduling, purchasing, job costing, and billing work together. Strong candidates may have experience in electrical contracting, HVAC, mechanical contracting, plumbing, commercial construction, facilities maintenance, or another skilled-trades service organization. Primary Responsibilities Manage service work orders in Jarvis from creation through billing-ready status and closeout. Maintain accurate work-order status, documentation, notes, and supporting information. Coordinate daily and upcoming technician schedules based on customer requirements, priorities, emergencies, manpower availability, and skillsets. Maintain visibility of the Service Department's current and upcoming workload. Monitor active work orders and proactively follow up on jobs that are stalled, incomplete, awaiting material, or awaiting information. Track technician time entries, job notes, materials, equipment, and required documentation. Review labor hours, material costs, purchase orders, and other work-order costs for completeness and accuracy. Monitor work-order financial performance and identify potential margin issues or cost discrepancies for management review. Ensure completed work moves promptly through documentation review and into the billing process. Coordinate with Service Management, field technicians, Purchasing, Warehouse, and Billing. Track materials, equipment, purchase orders, and other requirements needed for upcoming service work. Communicate scheduling changes and job requirements to field team members. Maintain professional customer communication regarding scheduling, job status, and administrative matters. Assist with T&M documentation, change documentation, and billing support. Identify missing documentation, incomplete work orders, unbilled work, and process breakdowns before they become larger problems. Maintain accurate records and ensure established G Technology processes and procedures are followed. Provide administrative and operational support to the Service Manager and Service Department as required. Experience & Qualifications 3+ years of experience in construction administration, service operations, project coordination, dispatch/scheduling, or a similar position preferred. Experience in construction, skilled trades, or a field-service environment strongly preferred. Exceptional organizational and administrative skills. Strong attention to detail and follow-through. Experience managing numerous active work orders, service calls, or projects simultaneously. Experience coordinating field personnel or technicians preferred. Comfortable working with labor hours, material costs, purchase orders, billing information, and basic job-cost data. Strong computer skills and ability to learn construction/service-management software. Strong written and verbal communication skills. Ability to prioritize emergency requests while maintaining control of routine work. Ability to identify problems, determine what information is missing, and follow issues through to resolution.
