Medical, Dental, Vision, HSA/FSA, PTO, 401K An Addison Group client is looking for an Administrative Assistant to provide day-to-day administrative and operational support to a commercial property management team!Job Responsibilities:
Serve as a primary point of contact for tenants, vendors, visitors, and internal staff through phone, email, and in-person communication. Receive and coordinate tenant requests, maintenance needs, and other building-related concerns. Assist with purchasing, orders, and delivery documentation. Maintain vendor and contractor documentation, including insurance certificates. Coordinate vendor and contractor activity with building operations. Prepare routine communications and updates regarding building and contractor activity. Assist with purchase orders, contracts, agreements, and other property-related documentation. Collect and organize operational reports into spreadsheets for management review. Manage incoming mail, scanning, filing, document distribution, and general office administration. Support document preparation, data entry, mailings, and other administrative projects. Maintain shared office, meeting, and amenity spaces so they remain organized and ready for use. Monitor office supplies, equipment, and other shared resources. Assist with calendars, correspondence, forms, and other administrative materials. Process and route invoices and financial documentation to the appropriate accounting team. Maintain vendor records within internal systems. Enter and track tenant requests and work orders in the appropriate system. Provide general administrative support to the property management team and assist with special projects as needed.Requirements:
High school diploma or equivalent required. Previous administrative or office experience preferred. Property management, commercial real estate, facilities, or related industry experience is strongly preferred. Strong customer service and communication skills. Proficiency with Microsoft Office and standard business applications. Excellent organizational skills and attention to detail. Ability to manage multiple priorities and respond to time-sensitive requests. Reliable, professional, flexible, and team-oriented. Comfortable working independently and taking ownership of responsibilities. Professional demeanor when interacting with tenants, vendors, visitors, and internal stakeholders.
