$[$17-$19] FilterShine Northeast is seeking an organized, dependable, and detail-oriented Office Assistant to support our office and management team. This full-time, on-site position provides hands-on administrative support, including general office duties, data entry, document management, customer communication, scheduling assistance, and accounts payable support. The position is based in our Denver, Pennsylvania office and is not available as a remote or hybrid role. We are a small offfice, and our team works closely together. The ideal candidate will be a dependable team player who can support multiple team members professionally and adapt to changing priorities. Responsibilities Assist the office and management team with daily administrative needs Review invoices, statements, and paperwork for missing or incorrect information Perform accurate data entry in company systems and spreadsheets Answer incoming phone calls and assist or direct customers appropriately Monitor and respond to routine emails Assist with scheduling, calendars, reminders, and follow-up tasks Maintain organized electronic and paper files Scan, upload, save, and properly name documents Prepare letters, forms, spreadsheets, and other office documents Update customer, vendor, and account information Enter vendor invoices and assist with accounts payable documentation Support management with special projects as assigned Maintain confidentiality when handling company, customer, employee, and financial information Complete other reasonable administrative and office-support duties as assigned Required Skills and Qualifications Previous office, administrative, customer-service, data-entry, bookkeeping, or similar experience Strong organizational and time-management skills Excellent attention to detail and accuracy Professional written and verbal communication skills Comfortable answering phones and communicating with customers and vendors Ability to prioritize assignments and manage interruptions Ability to follow written procedures and verbal instructions Dependable attendance and punctuality Comfortable using Microsoft Excel, Word, email, and general office technology Willing and able to learn new software and office procedures Ability to work independently after training while also supporting a team Ability to accept feedback, correct mistakes, and ask questions when instructions are unclear Preferred Experience QuickBooks Online or other bookkeeping software Accounts payable or invoice-entry experience Google Workspace Spreadsheet creation and data entry Experience working in a service-based company Experience supporting multiple managers or departments Training will be provided for company-specific systems and procedures.
