Program Administrative Assistant Woodhaven Recovery is seeking a reliable, highly organized and adaptable Program Administrative Assistant to support the daily operations of our residential recovery program for adolescent boys ages 14-18yrs old.

Position Overview:

This is primarily an administrative position with occasional resident transportation and supervision responsibilities. The Program Administrative Assistant will help keep Woodhaven organized and running smoothly by supporting scheduling, calendars, documents, ordering, communication, social media, creative projects and day-to-day program systems. Because Woodhaven is a small, hands-on residential program, the right person will be comfortable working in an environment with adolescent boys and be willing to assist with transportation, activities and supervision when additional staff is needed.

Primary Responsibilities:
  • Provide administrative and program support, including managing calendars, scheduling, forms, spreadsheets, files, and routine correspondence.
  • Create and maintain checklists, trackers, calendars, supply lists, and other organizational systems.
  • Coordinate routine ordering of office, household, school, activity, event, and program supplies.
  • Assist with Canva projects, including flyers, signs, schedules, event materials, simple graphics, and program documents.
  • Help create, organize, and schedule appropriate content for Woodhaven's social media platforms.
  • Take photographs during program activities, events, and special occasions while following Woodhaven's privacy and media-consent guidelines.
  • Maintain an organized collection of approved photographs and other digital content.
  • Prepare and organize materials for meetings, family events, resident activities, admissions, staff needs, and special projects.
  • Proofread and format documents and assist with printing, scanning, filing, and follow-up tasks.
  • Help coordinate appointments, activities, events, and other program commitments.
  • Drive residents to appointments, errands, activities, and program-related commitments when needed.
  • Provide appropriate supervision during appointments, outings, activities, and waiting periods.
  • Assist staff with resident-facing responsibilities when an additional adult is needed.
  • Respond to changing priorities with flexibility, sound judgment, and a willingness to help.
Qualifications and Attributes:
  • Valid driver's license required.
  • Must be able to pass a background check and drug screening.
  • Must have strong teamwork skills.
  • Excellent computer skills and confidence working with email, shared calendars, spreadsheets, digital files, online platforms, and general office technology.
  • Proficiency with Google Workspace or similar office software.
  • Comfortable using Canva and social media platforms.
  • Able to learn new programs and digital systems quickly and independently.
  • Highly organized, dependable, and able to follow tasks through to completion.
  • Strong attention to detail and the ability to manage multiple responsibilities and changing priorities.
  • Clear, professional written and verbal communication skills.
  • Comfortable taking clear, engaging photographs using a smartphone or camera.
  • Practical, adaptable, and able to work effectively in a small, collaborative environment.
  • Warm, calm, and appropriate when interacting with adolescents.
  • Comfortable driving and supervising adolescent boys when needed.
  • Previous experience in administrative support, schools, youth programs, residential programs, recovery settings, or human services is helpful but not required.
