Description We are seeking a dynamic and highly organized Administrative Assistant to support the efficient delivery of workforce development programs. This vital role provides essential administrative support across a range of functions, including data management, participant intake, testing center coordination, and day-to-day office operations. Responsibilities Administrative & Office Support Perform general administrative duties including scheduling, filing, correspondence, and front-desk support
Manage calendars, appointments, and meeting logistics
Maintain organized electronic and physical records
Data Entry & Systems Management
Accurately collect, enter, and maintain participant data in SHINE and other systems of record
Ensure compliance with data quality standards and reporting requirements
Assist with document tracking, file auditing, and program documentation Testing Center Support Coordinate scheduling of Pearson VUE and other certification exams
Assist with test-day, logistics, participant check-in, exam proctoring and documentation
Support compliance with testing center security protocols and procedures
Provide basic troubleshooting and coordination for technical needs Participant & Program Support Serve as a first point of contact for test tackers
Provides information on services, programs, and next steps
Support outreach efforts through basic communications and follow-up
Maintain testing center supply inventory and assist with procurement as needed Qualifications High school diploma or equivalent required
Associate degree or relevant administrative experience preferred
2+ years of administrative, data entry, or office support experience Skills & Abilities Strong organizational, time management, and prioritization skills
High attention to detail, accuracy, and proofreading ability
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace; strong computer, data entry, and typing skills
Ability to learn and manage database systems (e.g., SHINE)
Experience with multi-line phone systems, calendar management, and professional phone etiquette
Excellent written and verbal communication skills
Strong interpersonal and customer service skills
