Job Description

Job Summary We are seeking a dependable, organized, and professional Front Desk / Office Administrative Assistant to serve as the first point of contact for our construction company. This position is responsible for providing excellent customer service while assisting with daily office operations, employee and project paperwork, filing, data entry, phones, mail, and general administrative support. The ideal candidate is organized, detail-oriented, able to prioritize multiple tasks, and comfortable working in a fast-paced construction office environment. Construction industry experience is preferred but not required.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Front Desk & Reception Answer and direct incoming telephone calls in a professional and courteous manner. Greet and assist visitors, customers, vendors, subcontractors, and employees. Receive, sort, distribute, and send incoming and outgoing mail and packages. Monitor the front office and maintain a professional and organized reception area. Take messages and ensure calls and requests are directed to the appropriate employee. Assist with general customer and vendor inquiries. Maintain office contact lists and company directories as needed. General Office Administration Perform general clerical and administrative duties to support office staff and management. Enter and maintain information in company computer systems and spreadsheets. Prepare, organize, scan, copy, and file documents. Maintain accurate electronic and paper filing systems. Assist with preparing correspondence, forms, letters, reports, and other office documents. Maintain office supplies and submit order requests. Maintain and organize printing room. Maintain confidentiality of employee, customer, vendor, and company information. Accounting & Administrative Support Assist accounting personnel with administrative tasks and document organization. Receive and route vendor invoices and other financial documents. Assist with matching, organizing, scanning, and filing invoices and receipts. Assist with customer and vendor account information as directed. Enter basic information into QuickBooks or other company software, when trained and authorized. Assist with maintaining accurate records for company expenses, purchases, and office transactions.
QUALIFICATIONS
High school diploma or equivalent required. Previous office, receptionist, administrative, or customer service experience preferred. Construction industry experience is a plus. Strong organizational and time-management skills. Excellent verbal and written communication skills. Professional and courteous telephone manner. Strong attention to detail and accuracy. Ability to maintain confidentiality. Ability to multitask and prioritize responsibilities. Ability to work independently while also functioning as part of a team. Proficiency with Microsoft Office, Outlook, Excel, and general computer applications. Ability and willingness to learn company-specific software, including QuickBooks and construction management systems.
PHYSICAL REQUIREMENTS
Ability to sit and work at a computer for extended periods. Ability to communicate effectively by telephone and in person. Ability to occasionally lift and carry office supplies, files, or packages weighing up to approximately 25 pounds. Ability to stand, walk, bend, and reach as necessary to perform routine office duties.

The Front Desk / Office Administrative Assistant is expected to: Maintain a professional and welcoming front office. Respond to phone calls, visitors, and requests promptly. Complete assigned tasks accurately and on time. Maintain organized and accurate files and records. Protect confidential company and employee information. Communicate effectively with all levels of the organization. Demonstrate a positive, cooperative, and professional attitude. Support the overall efficiency and organization of the company office.
Pay:
$18.00 - $25.00 per hour Expected hours: 40.0 per week
