Job Description

Based in Lebanon, PA, Audrey's LLC is a leader in the home and decorative accessories business and has been serving customers for over 40 years. Audrey's is part of Grace Management Group, a privately held group of gift, fragrance and accessories companies based in Spartanburg, SC. This position will be based in our Lebanon, PA office. We hire fun, friendly people and are currently looking to fill a Product Admin Assistant position in our Product Development department. Position Summary The Product Admin Assistant supports the administrative and hands-on work required to move products from concept through sampling, approval, and production launch. The position works closely with the product development and design teams, overseas vendors, and quality control partners to keep samples, pricing, product specifications, purchase orders, packaging information, and inspection results accurate, current and development on track. This position will begin with a focus on the sampling processing. During the first few months, much of the work will involve preparing for incoming samples, unpacking cartons, creating and attaching tags, organizing products for review, weighing and measuring samples, and entering information into MPL, the company's product management system. As the employee learns Audrey's products and processes, the role will expand into quote management, purchase order support, vendor communication, packaging instructions, and quality control coordination. Primary Focus During the First Six Months Prepare product tags and supporting information before expected sample shipments arrive. Receive, unpack, sort, identify, and organize a high volume of product samples. Record sample arrivals and maintain an accurate sample status and location in MPL. Enter and verify sample, pricing, and specification information in MPL including weigh, dimensions, etc. Organize samples before and after review meetings and maintain orderly sample processing and storage areas. Track down missing samples, incomplete information, and discrepancies with the appropriate internal team member or vendor. Break down and dispose of shipping and packing materials as appropriate. Essential Duties and ResponsibilitiesProduct and Sample Administration Maintain accurate product, sample, pricing, and development records in MPL. Track products through sampling, approval, costing, purchase order, and production stages. Confirm that product records include required measurements, weights, materials, costs, packaging details, HTS codes, and other specifications. Prepare products and supporting information for internal review meetings. Coordinate the storage, movement, return, or disposal of samples. Quotes Pricing and Purchase Orders Receive vendor quotes and supporting documents, review them for completeness, and upload information into MPL. Match quotes to the correct product and sample records and follow up on missing or inconsistent information. Track revised pricing and help maintain an accurate history of product and cost changes. Assist with preparing, sending, and tracking sample and production purchase orders. Verify that purchase orders reflect approved product specifications, quantities, pricing, and packaging requirements. Vendor and Quality Control Coordination Receive, organize, and review quality control and production inspection reports. Compare inspection findings with approved samples, product specifications, and packaging requirements, and identify items that require product team review. Communicate feedback and required corrections to vendors and field inspectors under the direction of the product team. Track corrective actions and maintain clear records of inspection findings, decisions, and approvals. Product Specifications Packaging and Compliance Create and maintain accurate product and packaging requirements, including carton dimensions, pack quantities, product weights, and packing instructions. Confirm that product and packaging information is consistent across MPL, quotes, purchase orders, and quality control documents. Help identify packaging concerns that may affect product protection, presentation, shipping, or handling. Maintain current and accurate HTS codes and duty rates in company systems as directed. Support the product and design teams with other administrative work related to new product development and seasonal launches. Perform other duties as assigned. Qualifications and Skills Strong attention to detail and the ability to complete repetitive, process-driven work accurately for extended periods. Excellent organization, time management, and follow-through. Ability to manage multiple products, deadlines, and open items in a fast-paced environment. Clear written and verbal communication skills and the ability to work effectively with internal teams, vendors, and quality control partners. Sound problem-solving skills and the ability to identify missing, inconsistent, or potentially incorrect information. Proficiency in Microsoft Office applications (especially excel) and the ability to learn company-specific software, including MPL. A dependable, self-directed approach with the flexibility to shift priorities as business needs change. Previous experience in product development, merchandising, purchasing, inventory, data entry, quality control, wholesale, or a related administrative role is preferred but not required. Experience working with consumer products or overseas vendors is a plus. Availability to work occasional overtime, including early morning or evening hours, when business needs require it. Able to stand for an extended period and move items up to 40lbs.
