Job Description

Job Summary We are seeking a detail-oriented and organized Administrative Assistant to support our team in various administrative tasks in the Codes Department. The ideal candidate will be responsible for maintaining data, managing calendars, and providing clerical support. This role requires strong communication skills and the ability to work independently while maintaining a high level of professionalism. Duties Provide administrative support including managing calendars, managing permit applications, and coordinating meetings. Proofread documents including applications and permits for accuracy and clarity before distribution. Assist in office management tasks such as filing, organizing, and maintaining department data and supplies. Serve as an assistant to the supervisors by handling correspondence and preparing reports for agendas. Utilize computer literacy skills to manage data entry, calendars and maintain electronic records. Transcribe meeting notes and other documents as required. Proficiently use Microsoft Office for document creation, sharing, and collaboration. Manage electronic signatures through DocuSign for important documents. Exhibit excellent phone etiquette while handling incoming calls and inquiries from clients or team members. Submits requisitions for invoice payments and provides expense tracking for billing and invoicing purposes. General understanding of Municipal and Township Codes. Confident in communicating with the public, residents and contractors with various levels of concern. Skills Strong proofreading abilities with attention to detail. Previous experience in customer service dealing with the public. Excellent phone etiquette to communicate effectively with stakeholders. Excellent verbal and written communication skills. Proficient in general office management practices and procedures. Experience as an Administrative Assistant personal assistant is a plus. High level of computer literacy with familiarity in Microsoft applications. Ability to communicate information accurately and efficiently. Knowledge of DocuSign for electronic document management is advantageous. Excellent phone etiquette to communicate effectively with clients and colleagues. Strong organizational skills with the ability to file documents systematically. Basic understanding of record keeping is preferred.
