Job Description
We are looking for a dependable Administrative Assistant to provide on-site support for a Foundation & Alumni Relations team in Pennsylvania. This long-term contract position is well suited for someone who enjoys balancing office coordination, accurate record handling, and responsive service in a focused, mission-driven setting. The role offers the opportunity to contribute to daily operations while helping the department stay organized, efficient, and well supported.
Responsibilities:
- Provide day-to-day administrative support to the Foundation & Alumni Relations department, ensuring office activities run smoothly and efficiently.
- Maintain and update donor, alumni, and departmental records with a strong focus on accuracy, completeness, and confidentiality.
- Draft and format letters, reports, and other business documents using Microsoft Office applications.
- Assist with large-scale communications by preparing mail merges, organizing materials, and supporting document distribution.
- Handle document management tasks such as filing, scanning, copying, and maintaining organized records.
- Use standard office equipment, including printers, copiers, and scanners, to support routine departmental needs.
- Coordinate calendars, scheduling, and general office logistics to help keep priorities on track.
- Contribute to special projects and additional administrative assignments as department needs evolve.
- Prior experience in an administrative assistant, office support, or similar clerical role.
- Strong data entry skills with a high level of accuracy and close attention to detail.
- Proficiency in Microsoft Office Suite, including Word, Excel, and Outlook.
- Ability to prepare clear and effective correspondence and support mail merge activities.
- Effective written and verbal communication skills for interacting with internal and external contacts.
- Strong organizational skills with the ability to manage multiple tasks and deadlines.
- Experience with front desk, receptionist, or inbound call support is helpful.
- Exposure to bookkeeping, donor databases, higher education, nonprofit, or fundraising environments is preferred.
