Description

GENERAL SUMMARY

Under the supervision of the Personal Care Administrator, Allied Terrace, the Administrative Assistant performs clerical job assignments to ensure continuity of services provided by the Nursing Department. Assigned duties are implemented in a manner appropriate to the age-specific needs of the individuals served.

EDUCATION

High school diploma with courses related to secretarial business skills or equivalent required.

WORK EXPERIENCE

Three (3) years secretarial experience preferred.

SPECIAL EMPLOYMENT REQUIREMENTS

Must be able to work flexible hours as needed.

Clearances required:

PA State Police criminal history check and PA Department of Aging FBI fingerprint clearance (if applicable). Must be able to accurately type 55 WPM. Must be able to demonstrate proficient personal computer skills using WordPerfect or similar word processing program. Must have ability to originate correspondence and business reports; and manage a variety of projects simultaneously. Good written and verbal communication skills and interpersonal skills required for effective communication with staff, employees, and visitors. 25% Answers telephone. Screens calls and visitors for the nursing department. Schedules appointments. Assists with secretarial coverage on the nursing unit, as needed. (E)

Interacts with residents and families on a regular basis. Acts as a greeter for new admissions and their families. 25% Coordinates supplies for the Nursing Department. (E)

15% Types Nursing Department minutes, correspondence, policies and procedures and other necessary documents. (E)

13% Maintains department policy and procedure manuals. (E)

12% Opens, sorts, reviews and distributes mail. . (E)

5% Takes dictation and transcribes as required. Composes letters and interoffice correspondence. (E)

5% Maintains employee health files and department files. (E)
