Job Description

Administrative Assistant Job Overview We are seeking a dependable, organized, and customer-focused Administrative Assistant to support the day-to-day operations of our community management office. This position serves as an important first point of contact for homeowners, Board members, vendors, and visitors. The Administrative Assistant will provide front-office support, assist Community Managers and other company team members with administrative needs, support community communications and meetings, and help keep the office running smoothly. The ideal candidate is professional, friendly, organized, comfortable working in a busy office environment, and able to prioritize multiple requests while maintaining accuracy and follow-through. Core Responsibilities Front Office & Homeowner Support Answer and triage incoming phone calls and direct them to the appropriate company team member. Greet homeowners, Board members, vendors, and visitors. Maintain a professional and organized reception area. Assist with routine homeowner inquiries and requests. Monitor and route homeowner inquiries received through company's management systems. Escalate matters requiring management, accounting, Board, or other specialized assistance to the appropriate team member. Community Manager & Administrative Support Provide administrative support to Community Managers and other company team members. Assist with the preparation and organization of Board meeting and annual meeting materials. Prepare, organize, print, copy, scan, assemble, and mail community documents. Assist with community flyers, notices, homeowner updates, and other approved communications. Assist with eblasts and other community communications. Complete mail runs and other business-related errands as needed. Assist with general administrative projects and special assignments. Meetings & Community Support Assist with the preparation and coordination of Board and annual meetings. Provide administrative support during annual meetings as needed. Assist with meeting materials, homeowner check-in, registration, and other administrative needs. Assist with Lunch & Learn coordination and other company or community events. Administrative & Accounting Support Receive and triage homeowner payment plan requests and route them to Accounting for processing. Assist with company administrative billing and related documentation. Provide general administrative support to the Accounting and leadership teams. Maintain organized records and documentation. Communications & Social Media Assist with approved company social media posts and scheduling. Assist with gathering information and content for company communications. Ensure communications are professional, accurate, and consistent with company guidelines. Experience & Qualifications Previous administrative, receptionist, customer service, property management, HOA, or office experience preferred. Strong written and verbal communication skills. Professional and friendly telephone manner. Strong organizational skills and attention to detail. Ability to multitask and prioritize competing requests. Comfortable working with computers and learning new software and systems. Proficiency with Microsoft Office, including Word, Excel, and Outlook. Comfortable interacting with homeowners, Board members, vendors, and coworkers. Ability to work independently while knowing when to ask for assistance. Ability to maintain confidentiality and exercise good judgment. Bilingual abilities are a plus. What We're Looking For The right person for this position is someone who can keep things moving . This person should be dependable, approachable, organized, and willing to jump in where needed. The position involves working with homeowners, supporting the Community Management team, and handling a variety of administrative responsibilities throughout the day. We are looking for someone who takes pride in their work, follows through on assignments, communicates well, and is willing to learn company's processes and systems.

Work Schedule Monday-Thursday:

9:00 AM

•5:00 PM, in office

Friday:

9:00 AM

•12:00 PM, in office; 1:00 PM

•5:00 PM, remote Reliable attendance and availability during scheduled work hours are required. Additional Information This is primarily an office-based position with a scheduled remote work period on Friday afternoons. Occasional local travel may be required for mail runs, annual meetings, or other company-related activities. Additional administrative duties may be assigned as needed to support company's operations.

From $15.00 per hour
