Job Overview We are seeking a dynamic and highly organized Administrative Assistant to join our team! This vital role offers an exciting opportunity to support daily office operations, enhance workflow efficiency, and provide exceptional customer service. As an energetic and proactive member of our team, you will manage administrative tasks with precision, assist with office management duties, and serve as the first point of contact for visitors and callers. Your strong organizational skills, computer literacy, and bilingual abilities will help create a welcoming and productive environment for everyone. Responsibilities Greet visitors at the front desk with professionalism and warmth, ensuring a positive first impression. Manage multi-line phone systems, directing calls efficiently and courteously while practicing excellent phone etiquette. Handle data entry, filing, and document proofreading to maintain accurate records and support office operations. Utilize Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools for correspondence, scheduling, and documentation. Assist with calendar management and appointment scheduling for staff members or executives. Support bookkeeping activities using QuickBooks or similar accounting software to track expenses and invoices. Provide exceptional customer support by addressing inquiries promptly and professionally across various channels. Maintain organized office supplies inventory and oversee general office management tasks to ensure a smooth workflow. Perform clerical duties such as copying, scanning, mailing, and preparing reports or presentations as needed. Qualifications Proven experience in an administrative or clerical role within an office environment. Strong computer skills including proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace, and data entry software. Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced setting. Bilingual abilities are highly desirable to serve diverse client needs effectively. Experience with multi-line phone systems, front desk operations, and phone etiquette is essential. Knowledge of QuickBooks or bookkeeping experience is a plus. Demonstrated customer service skills with a friendly demeanor and professional communication style. Ability to manage calendar appointments efficiently while maintaining attention to detail. Previous experience as a medical or dental receptionist or personal assistant is advantageous but not required.
