Restore Counseling ServicesPart-Time Billing & Intake AdministratorPosition Type Part-Time | Hybrid (99% Remote after initial training) Schedule Monday-Friday, 1:00 PM-6:00 PM 25 hours per week Position Summary Restore Counseling Services is seeking a highly organized, dependable, and proactive Part-Time Billing & Intake Administrator to support the administrative, billing, and intake operations of our growing behavioral health practice. This position is ideal for an individual who is comfortable working independently, managing multiple priorities, communicating professionally with clients and staff, and moving seamlessly between tasks throughout the day. The successful candidate will demonstrate strong attention to detail, excellent problem-solving skills, and the initiative to identify what needs to be done rather than waiting to be directed. The Billing & Intake Administrator plays an important role in creating a positive experience for clients while supporting clinicians and ensuring that administrative and billing processes are completed accurately and efficiently. Key ResponsibilitiesIntake & Client Coordination
- Respond to new client inquiries in a timely, professional, and compassionate manner.
- Complete and coordinate new client intake processes.
- Gather necessary demographic, insurance, and referral information.
- Assist with scheduling initial appointments and coordinating clinician availability.
- Communicate with clients regarding appointments, paperwork, insurance information, and administrative questions.
- Follow up on incomplete intake documentation and outstanding information.
- Maintain confidentiality and handle sensitive client information appropriately.
- Provide a welcoming and professional first point of contact for prospective and current clients. Billing & Administrative Support
- Assist with billing-related administrative processes and follow-up.
- Review information for accuracy and completeness prior to billing submission.
- Assist with insurance verification and obtaining required information or authorizations.
- Monitor outstanding administrative and billing tasks and follow through to completion.
- Identify discrepancies or missing information and take appropriate steps to resolve them.
- Maintain accurate records and documentation within practice systems.
- Assist with accounts receivable and payment-related administrative tasks as assigned.
- Support clinicians and administrative leadership with billing and documentation needs. General Administrative Responsibilities
- Manage multiple administrative priorities throughout the workday.
- Transition efficiently between intake, billing, customer service, and other administrative responsibilities.
- Utilize Microsoft Office and Adobe products regularly for administrative tasks and documentation.
- Maintain organized electronic records and files.
- Assist with special projects and other administrative responsibilities as needed.
- Communicate effectively with clinicians, supervisors, clients, insurance representatives, and other stakeholders.

Arrive prepared and ready to work during scheduled hours, complete assigned responsibilities, communicate barriers promptly, and take ownership of mistakes or missed tasks. Required Qualifications- Previous experience in an administrative, customer service, intake, billing, or healthcare setting.
- Experience handling client or customer intakes and gathering detailed information.
- Excellent written and verbal communication skills.

- Demonstrated problem-solving abilities.
- Strong initiative and ability to work independently.
- Ability to manage multiple tasks and changing priorities.
- Proficiency with Microsoft Office , including Word, Excel, Outlook, and related applications.
- Proficiency with Adobe products, including working with and managing PDF documents.
- Ability to maintain confidentiality and appropriately handle sensitive information.
- Ability to work Monday-Friday from 1:00 PM-6:00 PM . Preferred Qualifications
- Previous experience in a mental health, behavioral health, medical, or healthcare administrative setting .
- Experience with behavioral health intake processes.
- Experience with insurance verification, authorizations, or medical/behavioral health billing.
- Familiarity with electronic health records (EHR) systems.
- Experience working in a fast-paced outpatient healthcare environment. Ideal Candidate The ideal candidate for this position is someone who:

Pay:
$23.30 - $28.06 per hour Expected hours: 10.0 - 25.0 per weekWork Location:
