Office Administrative Assistant

Telehealth Position Summary:
We are looking for a dependable, organized, and detail-oriented Office Administrative Assistant to support the daily administrative and operational needs of our clinic. This role is vital for maintaining smooth workflows for our clinicians, clients, and leadership team while ensuring compliance, confidentiality, and a welcoming client experience. Key Responsibilities•
Front Office & Client Support:
Act as the first point of contact; answer phones, respond to emails, greet clients, and handle all front-office communication with professionalism and empathy.
Administrative Operations:
Maintain accurate records, files, and documentation; assist with scheduling, data entry, internal correspondence, and coordination of daily office operations and supplies.
Clinical & Billing Support:
Assist with the prior authorization process, including tracking submissions, gathering required clinical documentation, and following up on authorization statuses. Support billing, compliance, and accreditation-related administrative tasks.
Compliance & Confidentiality:
Maintain strict professionalism, confidentiality, and HIPAA compliance when handling sensitive client and company information. Qualifications
  • High school diploma or equivalent required; Associate's degree is a plus
  • 6 months to 1 year of administrative or office support experience preferred
  • training will be provided. Knowledge of prior authorizations or healthcare administration is a plus
  • Strong organizational, time-management, and attention-to-detail skills
  • Proficient in Microsoft Office and/or Google Workspace.
Excellent written and verbal communication skills. Ability to work independently, prioritize tasks, and collaborate effectively as the business expands.
Pay:
$15.00 per hour
