Learn more about WSAC's mission and our commitment to equity. Our Commitment to Equity Working Conditions This is a full-time, exempt position and is eligible for benefits, leave, and retirement. Located in Olympia, WA, this position will work in-office full time for the first six months during training. Successful candidates must live within a commutable distance to the building located at: 1500 Jefferson St SE, Olympia, WA 98501. Following a training period, this position will work in-office a minimum of three (3) days per week; additional workdays may be performed remotely with approval from your supervisor. Equipment and supplies required to work from home will be provided by the agency, including a computer, monitors, keyboard, mouse, and office chair. The standard schedule is five days per week, eight hours per day. Flexible work schedules must be agreed to by the employee and supervisor. This position is overtime eligible and covered by state civil service rules. The Administrative Assistant position requires occasional in-state travel and occasional evening and weekend work. Travel is typically centered around event planning and coordination throughout the year with advanced notice. Duties As an Administrative Assistant for the Washington Student Achievement Council (WSAC), you will provide high-level administrative support, helping the agency to run smoothly. This position reports to the Director of Operations & Administration, while supporting teams across the agency.
Success in this position requires:
a dynamic team player who has a strong interest in the work of the Council and understands this role plays a vital part in helping all teams to promote the initiatives of the Agency, a person who understands how their words and actions affect others and is willing to grow and foster both internal and external working relationships. Someone who is highly organized, comfortable with ambiguity, and who can adapt to change quickly and efficiently will succeed in this position. Additionally, we are looking for someone who is highly skilled with Microsoft Outlook, Zoom (or similar online platform), internet searches for research and has a propensity for multi-person executive-level scheduling. Some of the duties performed by this position include: Support multiple executive-level staff, including scheduling and coordination of appointments and meetings, calendar coordination, and the unique administrative needs of the executive(s) you support. Provide administrative and logistical support to colleagues, such as scheduling and supporting group meetings, assisting with the development of presentations and event materials, coordination of technology needs for in-person and hybrid meetings, and assisting with a variety of administrative processes. Serve as an active member of the Support Staff team working to coordinate in-person and hybrid events and meeting planning, including contract negotiations and execution for venue space, catering needs, and on-site technical support. Events and meetings will include travel coordination for WSAC staff, processing of travel requests, booking of airfare, hotel, transportation, registration for events. After staff travel, you will prepare travel reimbursements, adhering to internal rules and regulations as well as State Administrative & Accounting Manual (SAAM) guidelines. Serve as primary technical support for online or hybrid meetings for the agency, including large webinar events hosted on Zoom (or similar platform) with up to 500+ attendees on average. Serve as an active member of the office admin team. This includes answering & directing incoming phone calls, assisting with the opening of agency mail, assisting vendors, and being available for on-site staffing needs at WSAC headquarters. A commitment to continuously building positive working relationships with agency partners, stakeholders, & staff. A commitment to continuously learn and apply protocols regarding records retention and archiving in support of agency records management across all departments. A commitment to learn and apply protocols regarding the Public Records Act in support of
RCW 42.56.
Qualifications Required Qualifications:
Three or more years of administrative experience where your primary role was in a support focused role, such as supporting executive-level staff and their unique needs and/or work supporting office operations. "Office operations" is a broad term but can include tasks such as event planning/coordination, travel coordination, processing of travel reimbursements, vendor relations, assisting with facility needs, and expense tracking/reconciliation to name a few. Associates degree Five years of experience and a high school diploma or equivalent can substitute for this education requirement. Experience with travel planning Experience utilizing Zoom and Microsoft Teams (or equivalent online presentation platform) Willingness to continuously learn and apply protocols regarding records retention and archiving in support of agency records management across departments. Willingness to learn and apply protocols regarding the Public Records Act in support of
RCW 42.56.

Desired Qualifications:
Direct experience supporting senior leaders and large teams within state service. Direct experience with multi-person executive-level scheduling. Experience with travel planning and execution within state service. Experience and understanding of Washington State travel rules and regulations, including the most recent updates to SAAM Chapter 10. Experience providing technical support or virtual hosting using the following virtual presentation platforms: Zoom Meeting, Zoom Webinar, and/or Zoom Classroom.
