Part-time Reliance Management LLC ("Reliance") is a high-quality, happy, local community association (HOA) management company based in Southwest Colorado. We partner with HOA Board members, property owners, and other stakeholders to protect their assets, avoid Board burnout, and avoid big problems through high-quality management services. We are seeking an Financial & Administrative Assistant (FAA) to be an essential contributor to our financial and general operations, keeping everything running smoothly. This part-time, hybrid role is a dynamic opportunity to own key support processes while contributing to the growth of a high-quality, mission-oriented organization. We see this role starting around 20 hours per week, though we expect it to grow up to 32 hours per week pretty quickly for the right individual.Financial Management:
Manage the Finance email inbox: Respond to, manage, and process emails following the policies and procedures outlined in the FAA Operations Manual ("FAA Manual").Process Client Accounts Payables:
Accurately complete Accounts Payables processing steps, as outlined in the FAA Manual. Post Bank Feed transactions weekly following the Accounts Payable schedule. Ensure payables are issued by the close of business each Wednesday. Curate great relationships with our vendors (e.g., communicate well, pay swiftly, etc.).Process Client Accounts Receivables:
Visit Durango PO Boxes & local banks weekly to deposit physical checks. Double check payee and other information is correct; contact property owners as needed. Post receivables to appropriate client account(s) following the steps outlined in the FAA Manual. Ensure timeliness for month-end posting and processing.General Admin:
Manage General email inbox & answer general phone calls; proactively ensure timely and professional communication. Direct inbound calls and messages to appropriate resources. Follow-up directly as able. Answer basic questions using Reliance's communications systems (e.g., Google, AppFolio).Facilitate unit/lot transfers:
Communicate with local real estate professionals to provide critical association information; be our "best foot forward". Fill out status letter forms for unit/lot transfers Change homeowner information in AppFolio Charge transfer fees Prepare & distribute Welcome Letters, community rules, and keys/codes.Manage PO Box:
Do a pick-up at least once a week (from Durango Post Office), managing holidays, client late fee deadlines, etc. Process incoming mail. Follow-up on returned mail to ensure correct addresses are on file. Scan, file, and shred documents per FAA Manual. Ensure no correspondence falls through the cracks. Manage organization-wide calendar; schedule and coordinate office, workstation, and/or conference room usage. Attend weekly staff meetings, take notes, and ensure critical follow-ups are actioned (e.g., Send To Do List each week). Support the tracking and obtaining of W-9s and liability insurance certificates from contractors as needed.Client Support:
Support Client Onboarding processes by organizing and preparing association files. Prepare AppFolio Owner Import Template files Cross-check Address List against County tax assessor records Regularly review Client Google Drive folders to ensure compliance with state law requirements. Cross-check Google Drive & AppFolio for proper documents, naming conventions, etc. Perform in-meeting tech support for staff, as needed.Other:
Proactively engage with office stakeholders and resources to keep everything running smoothly. Use problem-solving skills to help us improve our systems. Other duties as assigned.Position Requirements:

written (email, letters, agendas, etc.) and oral (phone calls, HOA meetings, etc.) Ability to innovate and be a self-starter, capable of identifying problems and implementing sensible solutions, with minimal oversightPhysical Requirements:
