Key Responsibilities Customer Service & Reception:
Serve as the face of the department by greeting visitors with a friendly, approachable attitude, answering incoming calls, resolving inquiries, and providing assistance to the public.
Payment Processing:
Process customer payments accurately according to established protocols and perform daily payment reconciliations.
Mail & Delivery Handling:
Open, sort, and distribute incoming daily mail and package deliveries efficiently.
Records & Resource Management:
Maintain accurate, up-to-date records of departmental cell phone lines, usage, and associated costs.
Front Desk & Access Control:
Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook, issue visitor badges as needed).
Email Management & Inbox Triage:
Review and manage central inbox daily. Categorize, prioritize, and route incoming correspondence to the appropriate team. Monitor the Accounts Receivable aging schedule, prioritizing accounts that are past due.
General Support:
Perform other clerical support duties as assigned. Qualifications Minimum or "day-one" qualifications: Prior customer service experience. Prior data entry experience. Prior payment processing experience.
Preferred or trainable/on-the-job qualifications:
Is detail oriented At least 1 year of experience working in a professional office environment. Strong verbal and written communication skills. The ability to manage their own time. Works independently with little or no supervision. Exceptional communication and interpersonal skills. Extensive experience in quality assurance with sensitive and confidential information. Showcases proficiency in computer programs. Hands-on experience with office equipment. Professional attitude and appearance. The ability to be resourceful and proactive when issues arise. The ability to work with different groups of people. Excellent organizational skills. Has a customer service attitude. Multitasking abilities. About the Role Location
