ABOUT THE ROLE A
private investment firm is seeking a highly organized, discreet, and proactive Personal Assistant to support its Principal across professional and personal domains. This is a high-trust, high-variety role for someone who thrives on being the operational center of gravity for a busy executive — anticipating needs, removing friction, and making sure nothing falls through the cracks. The Principal's week spans investor meetings, portfolio company board work, transaction diligence, travel, client entertaining, and an active family calendar. You will be the person who makes all of it run. This is not a purely administrative role, and it is not a purely personal one. The right candidate is equally comfortable cleaning up an investor contact list and coordinating a last-minute dinner reservation for eight.WHAT YOU'LL DO
Calendar & Communications- Own and defend the Principal's calendar across business, board, and personal commitments; resolve conflicts and reprioritize in real time
- Triage inbox and phone; draft correspondence and route items requiring the Principal's attention
- Prepare daily and weekly look-aheads and short briefing notes on meetings and attendees
- Serve as a professional first point of contact for external counterparties, service providers, and advisors Travel & Logistics
- Plan and book domestic and occasional international travel — commercial and private aviation, ground transportation, lodging, and detailed itineraries
- Manage seasonal and multi-property logistics, including coordination of personal property, vehicle, and vessel service scheduling
- Handle real-time rebooking and contingency planning when plans change (they will)
- Process expenses, reconcile receipts, and track reimbursements Entertaining & Events
- Coordinate client and investor dinners, golf and sporting outings, offsites, and holiday gifting
- Manage restaurant and venue relationships, guest lists, RSVPs, dietary requirements, and day-of logistics
- Support hosted events at private residences, including vendor and staffing coordination Investor Relations & Firm Support
- Support investor relations workflows: meeting scheduling, follow-up tracking, distribution of materials, and data room access coordination
- Maintain CRM and contact database hygiene — accurate records, meeting logs, and relationship notes
- Assist in assembling and proofing investor-facing materials, decks, and correspondence
- Coordinate document execution and filing (e-signature routing, organized digital filing, records retention)
- Liaise with counsel, accountants, fund administrators, and other advisors on scheduling and document flow Household & Personal Coordination
- Coordinate household vendors, contractors, and service schedules
- Support family calendar logistics, including childcare scheduling coordination and activity planning
- Manage personal appointments, subscriptions, memberships, and recurring obligations
- Run occasional errands and handle purchases, returns, and shipping
WHAT WE'RE LOOKING FOR
Required- 2+ years supporting a senior executive, founder, principal, or family office in a comparable capacity
- Exceptional written and verbal communication; you can draft on behalf of the Principal and get the tone right
- Demonstrated discretion and sound judgment handling confidential financial, business, and family information
- Strong organizational skills and genuine attention to detail — you catch the misspelled name and the double-booked Thursday
- Comfort with ambiguity, shifting priorities, and a schedule that does not always respect business hours
- Fluency with Microsoft 365 (Outlook, Teams, Excel, PowerPoint, SharePoint) and strong general technical aptitude
- Valid driver's license and reliable personal transportation
- Ability to work on-site in Lower Fairfield County three days per week Preferred
- Exposure to private equity, venture capital, investment banking, or a family office environment
- Familiarity with CRM platforms, e-signature tools, expense platforms, and AI-assisted note-taking or productivity tools
- Event planning or hospitality background
- Notary commission or willingness to obtain one
WORKING ARRANGEMENT
Hybrid:
approximately three days per week on-site (office and/or private residence), remainder remote- Standard business hours with genuine flexibility required for early mornings, evening entertaining, and occasional weekend responsiveness
- Occasional travel with or ahead of the Principal
- Some physical tasks (errands, event setup, package handling)
