Overview We are seeking a dependable, proactive, and highly organized Hybrid Personal Assistant to support a busy real estate broker and property manager in Lincoln, California. This position combines business administration, property-management support, real estate marketing, social media, and personal errands. The ideal candidate is professional, detail-oriented, comfortable learning new technology, and able to manage multiple priorities with minimal supervision. This is a hybrid position requiring both remote work and in-person availability in Lincoln and surrounding communities. Duties Monitor and respond to routine tenant, property owner, vendor, and client emails using approved guidelines. Review utility invoices, upload documentation to Buildium, and bill the appropriate tenants. Upload leases, addenda, invoices, and other property documents to Buildium. Coordinate maintenance requests between tenants, property owners, and approved vendors. Create and update work orders, track repairs, and collect completion photos and invoices. Organize and submit bills requiring approval or payment. Maintain accurate and organized tenant, property, vendor, and client records. Prepare weekly summaries of outstanding tasks, maintenance issues, bills, and items requiring attention. Create real estate flyers, postcards, open-house materials, email campaigns, and social-media graphics. Draft and schedule Instagram and Facebook content. Help prepare new listings for photography, marketing, open houses, and launch. Coordinate photographers, inspectors, signs, lockboxes, and other service providers. Enter and maintain contacts, notes, and follow-up reminders in Follow Up Boss. Assist with calendar management, appointment scheduling, and weekly planning. Organize client gifts, mailings, labels, pop-by items, and open-house supplies. Pick up and deliver signs, keys, documents, supplies, and marketing materials. Complete personal errands such as returns, shopping, appointment coordination, household pickups, and other reasonable requests. Assist with office organization, scanning, printing, filing, and general administrative tasks. Handle confidential personal, tenant, client, and business information with discretion. Qualifications Previous experience as a Personal Assistant, Executive Assistant, Administrative Assistant, Real Estate Assistant, or Property Management Assistant is preferred. Strong organizational and time-management skills. Ability to prioritize responsibilities and follow through without constant reminders. Excellent written and verbal communication skills. Professional and comfortable communicating with tenants, property owners, vendors, and real estate clients. Proficiency with email, calendars, Microsoft Office, Google applications, and general office technology. Experience with Buildium, Follow Up Boss, Canva, DocuSign, Instagram, or Facebook business accounts is helpful but not required. Strong attention to detail when handling invoices, billing, documents, and deadlines. Ability to maintain confidentiality and exercise good judgment. Willingness to complete both business-related and personal errands. Reliable transportation, a valid driver's license, and appropriate automobile insurance. Ability to work independently while recognizing when approval or direction is required. Local availability in Lincoln, California, and the surrounding area. Schedule and Compensation Part-time position of approximately 15-20 hours per week. Hybrid schedule with both remote and in-person responsibilities. Most hours will be during weekday business hours, with occasional flexibility needed. Starting pay of $18-$25 per hour, depending on experience. Mileage reimbursement for authorized business and personal-assistant errands. Initial 60-90 day evaluation period with the potential for additional hours.
