Job Description

Job Summary We are seeking a dynamic and highly organized Personal Assistant to support executive leadership with a wide range of administrative and operational tasks. This role is vital in ensuring smooth daily operations, managing schedules, coordinating projects, and providing exceptional office support. The ideal candidate will be proactive, detail-oriented, and possess excellent communication skills to help streamline workflows and enhance productivity. Duties Manage and maintain complex calendars, scheduling meetings, appointments, and events efficiently using tools like Microsoft Outlook Calendar and Google Workspace. Provide comprehensive executive administrative support including email management, document proofreading, transcription, and data entry to ensure accuracy and professionalism. Coordinate projects by tracking deadlines, preparing reports, and liaising with team members to ensure timely completion of tasks. Handle office management responsibilities such as filing, front desk duties, office supply inventory, and overseeing multi-line phone systems with professionalism and courtesy. Assist with bookkeeping tasks using QuickBooks, including invoicing, expense tracking, and basic financial recordkeeping. Organize events and meetings by planning logistics, preparing materials, and managing attendee communications to ensure successful execution. Support customer service efforts by answering calls with proper phone etiquette and addressing inquiries promptly. Requirements Proven experience as a Personal Assistant or in an administrative support role with strong office management skills. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace applications, and familiarity with DocuSign for document signing processes. Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment. Strong typing skills combined with proofreading and transcription experience for accurate documentation. Knowledge of QuickBooks for bookkeeping tasks along with basic data entry skills. Exceptional communication skills—both written and verbal—and professional phone etiquette. Ability to handle confidential information discreetly while demonstrating high attention to detail. Experience managing calendars using Microsoft Outlook Calendar or similar tools; familiarity with multi-line phone systems preferred.
