What You Can Expect Provides high-level administrative support to senior leadership. This role requires frequent interaction with internal senior management, and corporate stakeholders, and therefore demands strong communication, professionalism, and sound judgment. The position regularly handles highly sensitive and confidential business information, including product-related information, and requires a high degree of discretion, diplomacy, and confidentiality. This role also requires strong organizational skills, the ability to manage competing priorities in a fast-paced environment, and flexibility in coordinating complex travel arrangements and schedules that may change on short notice. The Sr Administrative Assistant serves as a trusted partner to leadership by anticipating needs, maintaining operational efficiency, and ensuring timely follow-through on key administrative and coordination activities. This will be a hybrid role with weekly presence expected at our Warsaw, IN headquarters. How You'll Create Impact Prepare, draft, edit, and format correspondence, reports, presentations, agendas, and other business materials for senior leadership. Manage complex calendars, schedule appointments, and coordinate internal and external meetings across multiple stakeholders and time zones. Organize and support in-person, virtual, and hybrid meetings, including off-site meetings, teleconferences, and videoconferences. Prioritize and manage incoming communications, including email, phone calls, and text messages, and respond or escalate as appropriate. Coordinate domestic and, as needed, international travel arrangements, including itineraries, accommodations, transportation, and adjustments due to last-minute changes. Collect, track, compile, and distribute weekly and monthly reports for senior management. Maintain accurate records, files, and administrative documentation in an organized and accessible manner. Support meeting logistics, including preparation of materials, room arrangements, technology coordination, and follow-up on action items. Interface professionally with senior leaders, and corporate personnel to support effective communication and coordination. Handle highly confidential and sensitive information with discretion and in accordance with company expectations. Manage departmental administrative needs, including POs, expenses, shipping, supplies, and communications. Demonstrate flexibility to work overtime as business needs require. Excellent verbal, written, and interpersonal communication skills. Strong organizational and time-management skills, with the ability to manage multiple priorities simultaneously. Ability to adapt quickly to shifting priorities, deadlines, and business needs. Strong attention to detail and commitment to accuracy and follow-through. Proven ability to maintain professionalism, diplomacy, discretion, and confidentiality. Ability to remain effective under pressure in a fast-paced environment. Strong relationship-building skills with the ability to collaborate effectively across functions and with external stakeholders. Ability to anticipate needs, identify potential issues, and proactively implement solutions. Proficiency in Microsoft Office applications, including Word, Excel, PowerPoint, and Outlook, with the ability to learn new systems and tools quickly. Comfort with virtual collaboration and meeting platforms. Strong customer service mindset and a high level of responsiveness. Keyboarding/typing proficiency sufficient to perform the requirements of the role efficiently and accurately. Education and Experience High school diploma or equivalent required; Associate or Bachelor's degree preferred. Minimum of five (5) years of administrative or related experience required. Prior experience supporting senior-level executives strongly preferred. Experience in a corporate, healthcare, medical device, or similarly regulated environment is preferred.
