Job Description
Requirements:
Assume responsibility for the clerical functions of the Calcutt Middle School (CMS) guidance office and School Counselors.
Acquire and maintain a knowledgeable base of information concerning the total school program.
Serve as the school's lead for management and oversight of student information and records to include, but not limited to:
The process of transferring students
Assist in Truancy Court
Inventory of all student files
Enter all media permissions in the Student Information System
Collect and enter lunch form documents
Update emergency contact information
Work in partnership with families, students, and staff regarding updating Skyward information.
Act as a primary liaison between the CMS administration/guidance staff and faculty/school community.
In partnership with school administrators, support the development of student and schoolwide schedules. This task includes, but is not limited to:
Setting up progress reports in the Student Information System
Set up elementary and middle school report cards in the Student Information System
Monitor that all grades are entered; follow up with teachers if requested/needed
Provide one-on-one support/training to staff who request assistance with report cards/grading
Set up schedules in the Student Information System and assign schedules to all students
Assign advisory periods to students
Process schedules for all new students
Input the itinerant schedules quarterly
Update and monitor the teacher schedules on a regular basis
In partnership with school administrators, support the task of entering behavior consequences. The task includes, but is not limited to:
Entering the consequences to referrals based on admin requests
Entering written referrals into the school information system
Processing disciplinary letters
Tracking students for restorative services like circles, RASP, mediations, re-entry, suspensions, etc., including their attendance in Skyward for RIDE Documentation.
Support with school-to-lunch staff for after-school lunches that pertain specifically to behavior programs
Manage behavior calendar which includes re-entries
Provide well-organized and accurate work, while maintaining student and staff confidentiality.
Demonstrate the ability to pay attention to detail, keep accurate records, and troubleshoot while multitasking.
Organize and complete tasks in a timely and professional manner.
Demonstrate the flexibility to operate within a fast-paced work environment while multitasking.
General Duties:
Answer phone, take messages, and screen/direct calls to the appropriate guidance office staff; develop ongoing communications with parents and families
Set the invitational tone of the school through presence and tone; greeting students and families.
Prepare, file correspondences/reports and generate mailings for guidance office staff.
Assist in coordinating students' schedules, enrollment, and registrations, including assisting in the registration process.
Coordinate progress reports and report card submission by teachers and distribution to students
Collaborate with School Counselors and Admin in preparing and managing all students in the state testing platforms, to include ACCESS, RICAS, and
NGSS, TELL.
This includes assisting with the state testing schedule at Calcutt
Request/send records to other schools based on requests from transfer students.
Process and track student status regarding enrollment and withdrawal from school.
Track student records relating to attendance policy.
Track daily attendance for bus students
Truancy reports
Attendance letters
Produce reports when requested by guidance staff or administrators.
Provide support to the school's main office as needed.
Other related duties as assigned by the school's administration.
