You are the first person a client sees when they walk in, and you are also the person making sure payroll goes out, vendors get paid, and the numbers stay clean. It is a wide job on purpose, and you will be trained on all of it. This is a new position. We are expanding our operations function. You will report to our Business Operations Manager or directly to the owner. What you own Finance and administration. Running weekly payroll. Paying contractors and vendors. Categorizing expenses and working the billing inbox. Filing sales tax monthly. Paying rent and credit cards. Do not worry, we will train you. All of it is documented task by task, our retiring finance manager will walk you through it one item at a time, and a part-time bookkeeper reviews the work monthly. You need to understand what an invoice, a check, and a bank reconciliation are. You do not need a finance background. Front of house. Opening or closing the office, sitting in the main seat, answering phones, taking accurate messages, greeting walk-ins, handling order pickups, and helping clients in the showroom. This runs alongside everything else, which means stepping away from whatever you are working on to help someone at the counter and then picking it back up. You are the first impression, and you set the tone for how this company feels. Reporting and records. Running reports out of our CRM and accounting system, auditing jobs, keeping records clean, and flagging anything that looks wrong. As you learn the business, this grows into real analysis. Collections . Following up on outstanding invoices against a documented process. A couple of hours a week, not a full-time chase. The office itself. Keeping the space organized and presentable, communicating with vendors, ordering supplies, and stocking our kitchen for our staff and visitors. When something in the office breaks or needs attention, it comes to you. You are not always handling it yourself but you are making sure it actually gets handled. What you back up This is a real part of the job, and we would rather say so upfront than surprise you. Some of it is order support. Helping a client in the showroom pick products, pricing out a custom apparel or promotional job, writing up the order, sending a purchase order, ordering blanks, and setting up the request for our artwork team so they can start on the design. You are not running machines, but you are helping the order move from a conversation to something that ships. The rest is whatever the company needs that day. Packaging goods when a big job is going out. Receiving a delivery or running a drop-off to UPS. Sorting out a problem with the phone company. Where this grows This is a foundational seat, not a terminal one. Some people in this seat grow into the office manager role itself. Some find the part they are best at, whether that is finance, order processing, or operations, and move toward it. Some end up managing people we hire underneath this function as it expands. We do not know which one it will be, and that is genuinely the point. Scope and pay grow with what you take on. What we are looking for We are not requiring years of office management experience, a payroll background, or an accounting degree. We want someone smart, motivated, and adaptable who wants to learn a business from the inside. Someone comfortable with numbers, genuinely good on a computer, and quick to pick up new software. Be honest with yourself about this part. If you want a quiet, predictable day doing the same thing at the same time, this is not the right seat. The day moves.
