Job Description

Job Overview We are seeking a highly organized, professional, and personable Administrative Assistant to join our team at a busy and welcoming ballroom dance studio. This is a client-facing position that plays an important role in the daily operation and atmosphere of our studio. The ideal candidate is friendly and confident when communicating with people, highly organized, comfortable with technology, and able to manage multiple responsibilities while maintaining a polished and professional demeanor. This position combines administrative responsibilities, front-desk operations, customer service, and communication with both current and prospective students. We are looking for someone who takes initiative, communicates confidently, and enjoys working in a social, energetic, and professional environment. Responsibilities Welcome students, guests, and prospective students and provide a friendly, professional first impression of the studio. Answer and manage incoming phone calls, emails, and inquiries professionally and promptly. Follow up with prospective students and leads by phone, text, and email and assist them with scheduling introductory lessons and appointments. Manage studio calendars and schedule student lessons and appointments accurately. Communicate with current students regarding appointments, studio activities, events, and other important information. Perform accurate data entry and maintain organized and up-to-date student and contact information. Process payments and assist with basic front-desk transactions. Use the studio's management software to schedule lessons, maintain contact information, process payments, and generate reports. Training will be provided. Assist with Microsoft Office documents, spreadsheets, email communications, and other administrative projects. Proofread communications and materials to ensure accuracy and professionalism. Assist with studio events, promotions, and other activities as needed. Maintain an organized, clean, and professional front-desk and office environment. Monitor basic office supplies and assist with ordering when needed. Perform occasional errands and administrative tasks outside the studio as needed to support studio operations. Provide general administrative support to studio owners and staff. Qualifications Previous administrative, receptionist, customer service, or similar professional experience preferred. Excellent verbal and written communication skills. Comfortable and confident speaking with people both in person and over the phone. Strong customer-service skills with the ability to build positive relationships with students and prospective students. Strong computer and technology skills; proficiency with Microsoft Office or similar programs preferred. Excellent organization, scheduling, and time-management skills. Strong attention to detail and ability to maintain accurate records. Ability to multitask and prioritize responsibilities in a fast-paced environment. Proactive and comfortable taking initiative rather than waiting for direction on every task. Dependable and punctual with a strong sense of responsibility. Ability to work independently while also contributing positively as part of a team. Ability to maintain a polished, business-professional appearance and demeanor. Fluency in spoken and written English is required for communication with students and prospective students. High school diploma or equivalent required. Consistent availability Monday through Friday from 12:00 PM-5:00 PM is required. What We're Looking For Our Administrative Assistant is often one of the first people a new student interacts with, so we are looking for someone who genuinely enjoys working with people. The right candidate will be warm and welcoming while also being confident, organized, professional, and proactive. Experience in the dance industry is not required .
