Job Description
The Veterans Affairs Administrative Assistant provides administrative, operational, and customer service support to the Veterans Affairs Department. This position assists veterans and their dependents by coordinating appointments, maintaining records, preparing reports and communications, organizing department events, supporting transportation services, and serving as a liaison with the U.S. Department of Veterans Affairs, community organizations, and other partner agencies. The Administrative Assistant also supports department outreach initiatives, public communications, and special projects while ensuring efficient daily office operations. Provide administrative support to the Director, Deputy Director, and Benefits Counselor.
- Schedule appointments and maintain department calendars.
- Enter and maintain accurate information in Veterans Affairs databases.
- Prepare, process, file, scan, copy, fax, and maintain department records and correspondence.
- Maintain office files and ensure confidentiality of sensitive information.
- Maintain inventory and order office supplies. Operate standard office equipment including computers, printers, scanners, copiers, telephones, and other office technology. Assist veterans and their dependents by providing information and directing them to available benefits and services.
- Communicate with the VA Regional Office, Pension Management Center, VA Medical Centers, and other agencies to obtain documentation and information.
- Order prescription medications for eligible veterans when authorized.
- Prepare and distribute the monthly list of deceased veterans to Veteran Service Organizations.
- Coordinate transportation services for veterans as needed. Prepare and distribute the department's monthly newsletter.
- Manage the department's social media accounts.
- Create announcements, flyers, and other informational materials.
- Coordinate county-sponsored veteran events and recognition programs.
- Develop and maintain relationships with community organizations and nonprofit agencies to assist veterans and their families. Receive, review, and process reports, forms, appointments, and correspondence.
- Prepare recurring reports and other departmental documentation.
- Maintain accurate records in accordance with federal, state, county, and Veterans Affairs requirements. Obtain Veterans Affairs Accreditation and TRIP training within six (6) months of employment.
- Successfully obtain and maintain a Federal Identification Card, which requires completion of a federal background investigation.
- Attend meetings, conferences, seminars, and training sessions, including occasional overnight travel when required. Serve as backup to the Veterans Affairs Receptionist.
- Perform other duties as assigned by the Director or Deputy Director. High school diploma or GED required.
- Minimum of three (3) years of administrative, clerical, or customer service experience, preferably in a professional office environment.
- An equivalent combination of education, training, and experience may be considered.
- Ability to obtain Veterans Affairs Accreditation, TRIP certification, and a Federal Identification Card within required timeframes.
