Job Description

Job Summary We are seeking an organized and dependable Full-Time Office Assistant to support our fast-paced fabrication and machine job shop. In this role, you will be the bridge between our front office, our clients, and the production floor. You will handle daily administrative duties, manage critical project paperwork, and ensure smooth communication across teams. The ideal candidate has strong attention to detail, thrives in a manufacturing environment, and can accurately track job orders, parts, and materials. Essential Duties & Responsibilities Manage phone lines, route inquiries, and take accurate customer orders. Greet clients, delivery drivers, and vendors visiting the shop office. Organize job travelers, blueprints, quotes, and physical project folders. Track and reorder office supplies, safety gear, and shop consumables. Coordinate Customer pickups and schedule outgoing shipments Assist estimating and production teams with paperwork and documentation.

Qualifications & Experience Education:

High school diploma or equivalent required.

Experience:

Minimum of 1-2 years in an office administrative role.

Industry:

Prior experience working in a manufacturing, fabrication, or machine shop environment is highly preferred.

Software:

Proficiency with Microsoft Office, specifically Word and Excel.

Systems:

Experience with QuickBooks is a major plus.

Skills:

Strong ability to read and accurately interpret alphanumeric part numbers, invoices, and job orders.

Communication:

Excellent verbal and written communication skills for interacting with customers, vendors, and shop machinists.

Organization:

Proven ability to multitask, prioritize tasks, and manage paperwork in a fast-paced environment.

Physical:

Ability to sit or stand for long periods and lift up to 25 pounds occasionally for handling incoming shipments.

Benefits & Compensation Pay Range:

$13 hr to $18 hr (Dependent on experience)

Schedule:

[Monday to Thursday, 7:00 AM

•5:30 PM, Friday, 7:00 AM

•2:00 PM]

Paid Time Off:

2 weeks paid vacation

Bonuses:

Eligible for reliability bonuses. (10 hours of pay once per quarter simply for clocking in and out on time)

$13.00

•$18.00 per hour Expected hours: 47.0 per week
