Job Description
We are seeking a highly organized, positive, and professional full-time Administrative Assistant to support our team. If you have a strong work ethic, excellent communication skills, and thrive in a dynamic environment, we want to hear from you!
Key Responsibilities:
Phone and Visitor Management:
Answer and direct calls in a friendly, professional manner; take accurate messages as needed. Greet visitors warmly, answer questions, and ensure a positive experience.Reception and Office Maintenance:
Maintain a clean and welcoming reception area and common spaces at all times.Office Equipment & Technology:
Operate standard office equipment (copiers, projectors) and software, including the Microsoft Office Suite.Document and File Management:
Organize and maintain both electronic and physical files, including personnel and other important documents. Support forPresentations and Reports:
Assist in preparing presentations, reports, and documents for meetings.Record-Keeping:
Keep detailed records of visitor logs, phone calls, messages, incoming and outgoing emails, and mail.Mail and Delivery Management:
Receive deliveries, sort, and distribute incoming mail. Manage outgoing mail and packages.Supply Inventory:
Take inventory of office supplies and submit orders for replenishment when necessary.Meeting and Travel Coordination:
Maintain the company calendar, schedule meetings, arrange logistics (location, Zoom/Teams links, lunch orders). Organize travel arrangements, including flights, hotels, and rental vehicles.Document Verification:
Review and verify documents for accuracy and compliance with company policies and procedures.Legal Assistance:
Assist with legal research by searching documents to answer inquiries and compiling relevant records.Additional Administrative Support:
Perform other tasks as needed to support management and ensure smooth office operations.Who We're Looking For:
Experience:
Minimum two years administrative support experienceCommunication:
Strong written and verbal communication skillsTech Savvy:
Proficient in Microsoft Office Suite and general office equipmentOrganized & Detail-Oriented:
Ability to handle multiple tasks, prioritize effectively, and maintain a high level of attention to detail.Adaptability:
Capable of maintaining composure under pressure in a fast-paced environment.Professionalism:
A positive, professional attitude with a strong work ethic.Education:
High school diploma required; additional qualifications are a plus.Job Type:
Full-time Pay:
