The primary function of this role is to support efficient medication management services for patients, providers, and administrative staff through smooth clinical and administrative workflows. Primary Responsibilities Manage caseloads and coordinate scheduling needs for established clients across all providers. Oversee waitlist management and scheduling for internal referrals. Collaborate with the administrative team to manage waitlists and schedule medication screeners for external referrals. Support communication regarding medication refill requests, including routing to the appropriate provider and calling pharmacies to provide verbal orders for non-controlled medications when needed. Submit prior authorizations to insurance companies and manage appeals for denied medications. Triage patient concerns by advising on next steps, providing education, or directing them to their provider for further support. Complete provider-requested tasks such as lab orders, referrals, and medical record requests. Ensure client forms are current and compliant with state regulations. Prepare and complete required documentation for external organizations (e.g., DCS forms following appointments, school medication authorization forms). Collaborate weekly with the Medication Management and Administrative teams to improve communication and maintain efficient workflows.Required Skills and Abilities:
Demonstrates strong oral and written communication skills. Effectively manages time to maintain smooth and efficient provider schedules, and accurately triages client concerns while providing appropriate next steps. Maintains compliance with workplace standards and licensure requirements. Builds strong rapport with clients and families in a timely manner. Collaborates well with team members. Gathers and interprets relevant medical information to ensure tasks are completed accurately.Minimum Requirements:
High school diploma or equivalent 3 years of administrative, HR, payroll, or office experience (internships acceptable). Strong attention to detail and organizational skills. Basic proficiency in Microsoft Office (Excel, Word, Outlook). Ability to handle confidential information with discretion. Preferred Associate's or Bachelor's degree in Human Resources, Business, or related field. Experience with electronic medical or health record systems. Familiarity with healthcare or behavioral health settings. Experience working in a medical and/or clinical setting is preferred.Non-Discrimination Statement:
