Job Description

Taylor County is hiring an Administrative Assistant for Precinct 2.
Position Summary:
Under the direct supervision of the Commissioner and Foreman, the employee provides administrative and operational support to the precinct. Responsibilities include answering telephone calls; greeting and assisting members of the public and constituents in a professional, courteous, and friendly manner; monitoring and managing budget lines to ensure adequate funding; and preparing budget adjustments as necessary. The position is responsible for opening and closing purchase orders, monitoring monthly statements, and coordinating with the Purchasing and Auditor's Offices regarding funding, account coding, and invoice processing. Additional responsibilities include maintaining office supply inventory, conducting the annual precinct inventory in accordance with Purchasing Department requirements, and assisting the Commissioner with job site visits, photographs, traffic logs, and other day-to-day operational needs. Essential Job Functions (listing most important first): Maintain regular attendance and punctuality at the assigned worksite. Prepare and deliver purchase orders and accounts payable documentation to the Purchasing Department. Coordinate with the Commissioner regarding budget management, funding, and related matters. Order and maintain office supplies and employee uniforms. Maintain accurate records of precinct vehicles and their inspection status. Sort, process, and distribute incoming and outgoing mail. Monitor monthly statements and assist with invoice and account reconciliation. Coordinate with the Purchasing and Auditor's Offices regarding funding and invoice coding. Maintain accurate office and precinct inventory records. Conduct the annual precinct inventory in accordance with Purchasing Department procedures. Assist the Commissioner with job site visits, photographs, traffic logs, and other operational activities as needed.
Additional Job Duties:
Perform other job-related duties and responsibilities as assigned by the Commissioner.
Education:
High school diploma or equivalent required.
Required Skills:
Demonstrated accuracy and attention to detail. Professional, courteous, and friendly communication skills. Ability to maintain accurate records and handle administrative responsibilities efficiently. Ability to communicate and work effectively with county departments, employees, constituents, and the general public. Must possess and maintain a current Class C Texas Driver's License.
Preferred Skills:
Proficiency with computers and standard office software. Experience with Microsoft Excel and spreadsheet applications. Familiarity with purchasing, budgeting, accounts payable, or general office administration is preferred.
Physical Requirements:
The employee may be required to sit or stand for extended periods during normal hours of operation. This position may require light lifting and occasional physical activity. Employees may also be required to work outdoors and be exposed to varying weather and environmental conditions as necessary to perform job duties.
Working Conditions:
Work is performed in an office and operational environment with exposure to electronic equipment, dust and dirt from outdoor yards, and heavy equipment. The employee may be required to travel to job sites and perform duties in outdoor or field environments as necessary.
