Lantana Community Association, Inc. is seeking an Onsite Administrative Assistant who understands the importance of outstanding customer service and can interact effectively with owners and vendors. This role requires detailed knowledge of governing documents (CC&Rs, Bylaws, and Design Guidelines) — or a willingness to learn — along with a high level of technical proficiency and accuracy. Requirements Proficient in Excel and Canva Strong customer service skills and professional phone/email presence High attention to detail and technical accuracy Ability to multitask in a fast-paced environment Willingness to learn community governance documents and procedures General Responsibilities Provide general support to the onsite manager, team members, homeowners, and vendors Familiarize self with the Governing Documents Facilitate owner requests and queries Respond to telephone and email communications Facilitate common area work orders/action item tasks with porter Open and distribute mail accordingly - date stamp all received correspondence Open invoices, date stamp, and route to accounting for processing Assist in the reservation process for pool, pavilion, and event center rentals Work on action items/work order tasks as assigned by the Onsite Community Manager Organize and schedule vendor services and appointments Create and distribute correspondence to residents, owners, vendors, and onsite staff Develop and maintain resident/owner databases and filing systems Maintain office and other supplies Update and maintain welcome packages Assist with special projects as needed Update the community website with current information Reply to website inquiries and posts Periodically update the Board with current community status and action items Update new homeowner information in the resident database Scan and file paperwork such as Warranty Deeds into owner records - weekly Maintain inventory of amenity access keys/fobs Maintain a clean and organized workspace Maintain vendor files such as W9s and certificates of insurance Interact with internal and external customers, including owners, vendors, Board members, committee members, and onsite team Maintain organizational tools such as the annual calendar, action item/work order list, and operating budgets Maintain and update the resident database, including current owner information Regularly communicate with the Onsite Community Manager on pertinent Association matters Perform other tasks as assigned by the
