Job Description
Administrative Assistant III (226 Days) - ( RTP20260917-013 ) Description Provide administrative support to the Executive Director (ED) of Maintenance and Facility Services, Director of Maintenance, and Director of Operations. Ensure that projects are assigned and completed promptly to meet quality standards and the needs of schools and departments. Manage requisitions and reconciliation process for Maintenance and Facility Services and all requisitions being processed through Org 965 to include but not limited to generation of requisitions, verification of funding, maintenance of supporting documents, receipt of materials/services, and monitoring of payments. Process payroll and maintain employee records; ensure documentation is kept for compliance with grant and bond requirements. Responsible for obtaining all time and effort documentation and all accountability reports to include payroll and budget auditing. Assist with ensuring that the department budgets are maintained within the proper allocation of funds according to budget source under the guidance of E.D. and directors. Order and maintain supplies for the office; enter a receiver when materials are received. Organize and maintain an accurate and efficient filing system and inventory. Prepare budget spreadsheets and reports to track departmental expenditures, requisitions, and purchase orders. Assist with the coordination of the day-to-day functions of the department to meet the objectives of the department and district. Qualifications High School Diploma or GED required 5+ years direct of experience required Demonstrated ability to function independently. Demonstrated ability to defuse problems and hostile attitudes Demonstrated ability to manage multiple priorities simultaneously Demonstrated ability to communicate effectively in verbal and written form. Demonstrated organizational, interpersonal, and customer service skills required to achieve the goals of the position. Demonstrated proficiency with Oracle, Office 365, and Google Suite. Demonstrated proficiency in office management and basic accounting procedures.
