Day Shift Help for . The Administrative Assistant provides administrative and operational support to ensure the efficient day-to-day operation of the office and warehouse. This position is responsible for maintaining records, processing documentation, coordinating communications, supporting inventory and purchasing activities, and assisting staff with administrative tasks while delivering excellent customer service. Essential Duties and Responsibilities
Answer and direct incoming phone calls, emails, and visitors in a professional manner.
Prepare, organize, and maintain electronic and paper filing systems.
Process purchase orders, invoices, shipping documents, and other administrative records.
Enter, update, and verify data in company databases, spreadsheets, and inventory management systems.
Assist with inventory tracking, stock reconciliation, and maintaining accurate inventory records.
Coordinate office supplies and warehouse administrative needs, including ordering supplies when necessary.
Schedule meetings, appointments, and coordinate calendars as needed.
Prepare reports, correspondence, spreadsheets, and other business documents.
Maintain accurate records of orders, deliveries, and vendor documentation.
Support warehouse and operations staff with administrative functions to ensure efficient workflow.
Communicate effectively with customers, vendors, and internal departments regarding orders, deliveries, and documentation.
Assist with resolving routine administrative and customer service issues while escalating complex matters as appropriate.
Ensure confidentiality of company records and sensitive information.
Perform general clerical duties including copying, scanning, filing, mailing, and document preparation.
Maintain a clean, organized, and professional office environment.
Perform other administrative duties as assigned.
Qualifications
High school diploma or GED required; associate degree or administrative coursework preferred.
Minimum of two (2) years of administrative, office support, warehouse, or logistics experience.
Strong written and verbal communication skills with the ability to interact professionally with employees, customers, and vendors.
Excellent organizational and time management skills with the ability to prioritize multiple tasks and meet deadlines.
Strong attention to detail and accuracy in data entry, recordkeeping, and document management.
Proficiency in Microsoft Office Suite, including Word, Excel, Outlook, and other standard office software.
Experience creating and maintaining spreadsheets, reports, and business documents.
Familiarity with inventory management systems or ERP software is preferred.
Ability to resolve problems, make sound decisions, and maintain positive professional relationships.
Ability to work independently and collaboratively in a fast-paced environment.
