At Ruff Greens, we are passionate about dog health! We provide premium, natural, nutritional supplements to help dogs live longer, healthier, and happier lives. We are looking for an organized, detail-oriented Administrative & QuickBooks Assistant to join our growing team!Position Overview:
As our Administrative Assistant, you will be the backbone of our executive teams' management while taking full ownership of our QuickBooks Online (QBO) ecosystem. This dual-focused role requires someone who is highly organized, possesses excellent communication skills, and has a strong foundational background in digital bookkeeping and administrative support.Key Responsibilities:
QuickBooks Online (QBO)Management:
Maintain accurate financial records by managing daily data entry in QuickBooks Online. Process vendor invoices, accounts payable, and customer accounts receivable. Reconcile bank statements, credit cards, and merchant processing accounts. Monitor expense tracking and categorize financial transactions accurately. Assist management with running standard financial reports (Profit & Loss, Balance Sheets).Administrative Support:
Manage incoming correspondence, including filtering emails, answering phone calls, and sorting mail. Schedule appointments, manage company calendars, and coordinate team meetings. Assist team members with drafting professional correspondence, memos, and internal announcements. Provide comprehensive, day-to-day administrative assistance to leadership and the broader team.Qualifications:
Experience:
2+ years of experience in an administrative support, receptionist, or office management role. Software:
2+ years of hands-on experience using QuickBooks Online (QBO) is strictly required. Skills:
Proficient in Microsoft Office (Excel, Word) and Google Workspace. Traits:
Strong attention to detail, exceptional organizational skills, and data entry accuracy. Communication:
Excellent written and verbal communication skills. Discretion:
